General Summary:
The Practice Administrator plays a vital role in ensuring the seamless daily operations of the practice, managing scheduling, staffing, and administrative responsibilities with efficiency and precision. This position demands a proactive leader with exceptional organizational, problem-solving, and communication skills to support the team's objectives. Acting as a key liaison, the Practice Administrator fosters collaboration between hospital and clinic administration, specialty physicians, and advanced practice providers to enhance workflow and patient care.
Essential Duties and Responsibilities:
- Scheduling: Manage the hospital, clinic, and on-call schedules using the live scheduling platform QGenda. Collaborate with administrative leaders and clinicians to ensure proactive planning, timely publication, and clear communication of schedules. Optimize staffing levels, streamline operations, and enhance patient access through effective coordination.
- Staffing: Collaborate with administrative leadership and medical directors to analyze hospital census volumes and trends, ensuring proactive planning for optimal staffing solutions across hospital departments. Enhance patient access to outpatient care through strategic resource allocation. Participate in the administrative on-call rotation for hospital and on-call scheduling, which may include evening and weekend responsibilities to support seamless operations.
- Administrative Coordination: Provide proactive support to the COO by assisting with planning and organizing key meetings and responsibilities, including annual employee reviews and contract renewals. Oversee essential administrative functions, such as preparing and managing operational meeting agendas and minutes, facilitating new provider orientation, and coordinating onboarding processes. Ensure seamless communication, efficient workflow, and alignment with organizational objectives to foster a well-structured and collaborative healthcare environment.
- Operational Management: Continuously assess and enhance operational workflows to drive efficiency and effectiveness. Ensure practice policies and procedures are regularly reviewed, updated, and clearly communicated to maintain compliance and optimize organizational performance.
- All other tasks as assigned.
Knowledge, Skills, and/or Abilities Required:
- Bachelor's degree in business administration, healthcare administration, or a related field.
- 2 years of experience in an administrative or operations role.
- Proficiency in Microsoft Office Suite, including PowerPoint, Outlook, Word, and Excel.
- Strong organizational, time management, problem-solving, and communication skills.
- A proactive self-starter with the ability to anticipate future needs and develop strategic solutions to overcome potential challenges.
- Exceptional attention to detail, ensuring accuracy and consistency in administrative processes and operational tasks.
- Shows good judgment.Can build trust while maintaining confidentiality.
- Has a high emotional intelligence.
Knowledge, Skills, and/or Abilities Required:
- Hybrid working in the Corporate Office and remotely.
- 50% Travel to assigned facilities.
