Pioneer Title Company is seeking an Escrow Assistant to help establish a new office in Quincy, WA. The ideal candidate must be willing to travel to our Wenatchee office for six months of training before transitioning to the Quincy office for independent work.

As an Escrow Assistant, you will provide administrative support to our Escrow Officers in managing a variety of high-pressure, time-sensitive transactions and ensuring that all transactions are handled efficiently and accurately. This position requires a strong understanding of loan origination, mortgage servicing, and relevant regulations to assist in the smooth closing of real estate transactions.
Responsibilities
- Closing Preparation: Support the underwriting process by gathering required information from clients and third parties.
- Transaction Coordination: Assist Escrow Officers in the preparation, review, and execution of escrow documents to ensure accuracy and timely completion.
- Client Communication: Coordinate communication between buyers, sellers, real estate agents, and lenders throughout the escrow process.
- Document Management: Manage the collection of necessary documentation, including contracts, loan applications, and disclosures. Ensure that all documents are organized and compliant, making the closing process as smooth as possible. Maintain organized files and records for all escrow transactions.
- Problem Solving: Provide exceptional customer service by quickly addressing inquiries and resolving issues that arise during transactions and working to find efficient and effective solutions in real-time.
- Data Entry: Handle transaction data and ensure compliance with company policies, laws, and regulations.
Qualifications
- Experience in Escrow or Title: Previous experience in escrow, title, real estate, or similar industries preferred, but we’re willing to train the right candidate.
- Bilingual Fluency: Strong command of both English and Spanish, both spoken and written, is a plus.
- Organization and Efficiency: You thrive in fast-paced environments and are able to juggle multiple transactions without missing a beat. Excellent organizational skills with attention to detail to manage multiple tasks effectively.
- Emotional Intelligence: You remain calm and professional, even when dealing with upset clients or tight deadlines. You can manage emotions and stress while maintaining strong client relationships.
- Strong Communication Skills: You’re confident in managing phone calls, emails, and face-to-face interactions , with a focus on providing exceptional and professional customer service.
- Detail-Oriented Mindset: Accuracy is critical. You catch mistakes before they happen and ensure everything is in order for smooth closings.
- Ability to work independently as well as collaboratively within a team environment.
- Having a Notary license is a plus, but not required.
- Experience in loan processing or mortgage servicing is a plus, but not required.
- Strong math skills with the ability to perform basic calculations accurately.
- Proficient in using office software and technology for document preparation and data entry.
