What are the responsibilities and job description for the Dental Receptionist position at Pit River Health Service, Inc?
Position Summary: The Receptionist checks dental patients in and ensures patients are greeted and comfortable. The Receptionist is responsible for managing the daily patient schedule and subsequent daily production.
Specific Duties and Responsibilities
1. Answer telephone and direct calls to appropriate staff or department within Pit River Health Service (PRHS). Write written phone messages with clear information for the appropriate provider.
2. Uses the Dentrix Program to run the daily schedule. Checks the patients in for their appointments and lets the staff know that the patients are ready. Enter current Insurance information in the dentrix chart “notes” section the day before patient appointments with help from intake.
3. Check all patient files the day before for current paperwork. Health Histories must be less than one year old. Current consent must be signed and any other needed policies signed and scanned or updated.
4. Calls and confirms with patients the day before their scheduled appointment and verifies with transport book those needing transportation.
5. Work with the Registered Dental Hygienist to organize and process the recall system to track and send out postcards and other methods of patient contact as requested.
6. When new patients arrive, present registration packet to patient, and notify the Intake/Eligibility Clerk that the patient has arrived.
7. In the absence of the intake clerk, the receptionist will:
a. Check the patient’s insurance eligibility.
b. Update the patient’s personal information and check the patient in.
c. Process the complete information for a new patient
8. The Dental Receptionist will be responsible for pulling the secondary paper chart out and returning it to the dental chart room. Present the paper dental chart at the time of appointment if available for the provider to have access to past history not in the Dentrix system, if requested by the dentist.
9. Receptionist prepares paperwork for the release of dental patient’s records/information process (per request).
a. Patient signs “Consent for Release of Information"
b. Consent is scanned into the patient’s chart.
c. Print all records and present to dental director for review before releasing.
10. The Receptionist will coordinate referrals with other providers and will send the necessary records and x-rays. Emails will be encrypted to meet HIPAA requirements. He/she will arrange appointments and transportation.
11. The Receptionist is responsible for making all return appointments.
12. The Receptionist is responsible for arranging transportation for the (eligible) patient requesting transportation in the BMW system.
13. Assist in keeping patients records and charts. Scan all paper documents into patient files and retain them for 30 days before shredding.
14. Receptionist assists providers with referrals that need processing through PRC receptionist prints needed X-Rays, chart notes, and attachments. Receptionist ensures the completed referral is delivered to PRC and signed for by the PRC clerk receiving referral.
15. The Receptionist tracks the waiting list, failed list and cancelled appointments by patient and provider along with the daily tallies. He/she performs various IHS required lists and daily, monthly and yearly statistics and gives reports to appropriate personnel including the Administrative Assistant for Dental Monthly reports.
16. The Receptionist is responsible for assisting with the RDA’s and DA’s in coordinating the dental lab work with the lab and schedules the revisits for patients with lab work
17. The Receptionist must maintain confidentiality pursuant to the Personnel Policies and procedures.
18. Report incidents to the Dental Director/ DDS on staff and write incident reports as needed.
19. Other duties as assigned
Qualifications:
1. High school graduate or equivalent.
2. Typing skills of approximately 45 wpm, knowledge of basic computer usage.
3. Follow verbal and written instructions accurately.
4. Write legibly, good grammar (oral and written).
5. Previous office reception experience with heavy telephones.
6. Must be knowledgeable in the use of standard office machines.
7. Preference will be given to Native Americans in accordance with the P.L. 93-638.
8. Must be willing to submit to and pass pre-employment drug screening test.
9. Possess a current CPR card.
Typical Physical Demands:
Prolonged sitting or standing may be required. Those physical movements and the degree of mobility normally associated with the practice of primary care dentistry will be performed on a repetitive basis. The ability to distinguish letters and symbols, as well as the ability to utilize telephones, computer terminals, and copiers is required. Work under stressful conditions connected to the performance of dental procedures is required. Frequent exposure to communicable diseases, body fluids, toxic substances, medicinal preparations, radiation and other conditions common to a clinical environment may routinely be encountered.
