PRIMARY FUNCTION
The Bill Pay & Cash Administration Specialist will perform bill payment services for all family office clients as part of our Operations Team. Provide cash processing services such as wires, ACH deposits and checks. Maintain client account information in multiple systems.
RESPONSIBILITIES
- Perform all aspects of the bill pay function, including entering invoices into enterprise system according to department policies and deadlines.
- Identify errors or discrepancies before processing. Keep team leader and manager informed of any potential issues.
- Review all invoices for appropriate documentation and approval prior to payment.
- Maintain files and documentation thoroughly and accurately, in accordance with departmental procedures.
- Scan, photocopy, and file all invoices and payments.
- Maintain a procedure manual of bill pay tasks as a guide for backup assistance when such assistance becomes necessary.
- Perform cash management function, including processing wires, ACH, and checks, as needed.
- Communicate professionally and succinctly with management, peers, representatives of other departments, and a variety of external organizations in connection with client transactions.
- Perform other duties as assigned for the efficient operation of the department.
EDUCATION/EXPERIENCE
- Bachelor’s degree or 4 to 6 years moderate experience in back-office operations/administration of the securities processing or banking industries
- Computer literate and has a working familiarity with Microsoft products or other financial software applications
- Experience in Bill.com and/or Fidelity preferred.
