This position's purpose is to provide administrative and secretarial support on a departmental level to designated department staff. This is accomplished by maintaining daily appointments and schedules, receiving phone calls and emails, preparing and monitoring the budget, maintaining financial records, providing necessary reports, and maintaining files in an organized fashion. Other duties as assigned include coordinating special events and assisting with marketing efforts. The position reports to the Site Director or the Associate Director of Facilities of Cultural Arts & Recreation.
EXAMPLE OF DUTIES
Interviews and greets people who come into the office and resolves questions or refers to the proper person for attention when necessary.Conducts transactions with the public in matters requiring detailed knowledge of rules, election procedures, and policies.Supplies information involving facts and interpretations.Answers telephone as necessary and transfers calls to the proper person.Operates various office machines and equipment as required.Follows up and carries out various administrative orders.Performs related tasks as required.Serve as secretary to the Cultural Arts & Recreation staff.Data entry of all program information.Maintain records and files for all programs.Handle incoming and outgoing correspondence.Communicate effectively and professionally with customers and staff.Assist with processing requests for use of facilities.Order necessary supplies for the office as well as programs.Record and receipt monies generated through fees charges for activities and/or programs.Proficient use of Word, Access and Excel for program data processing.Assist with the creation and maintenance of program information within the payment software.Perform other duties as assigned by immediate supervisor or staff.
