Position: Orthodontic Office Front Desk and Marketing Administrative
This position combines customer service and administrative tasks with marketing responsibilities. The person in this role is responsible for front desk patient interactions, while also supporting the practice's marketing efforts.
Front Desk/Marketing Administrative Duties:
Front Desk:
Greet patients upon arrival, confirm patient information, and ensure their comfort.
Assist with intake forms and update health history in the system.
Answer phones, emails, and general inquiries related to the orthodontic services.
Assist with billing inquiries and payments.
Ensure accurate and up-to-date financial records.
Maintain patient files and ensure compliance with privacy regulations (HIPAA).
Maintain office cleanliness and organization.
Marketing & Administrative Support:
Digital Marketing:
Manage and update the office's social media accounts (e.g., Facebook, Instagram).
Post regular content such as patient testimonials, treatment promotions, and educational materials.
Create engaging social media posts and ensure they align with the practice’s brand.
Assist in updating content on the practice website.
Help with Search Engine Optimization (SEO) efforts to enhance online visibility.
Local Marketing & Community Outreach:
Assist with creating and managing promotions or special events to attract new patients.
Develop relationships with local schools, dentists, organizations, and businesses for community marketing.
Coordinate newsletters, and local advertising efforts.
Patient Referrals & Loyalty Programs:
Help manage and track patient referral programs and rewards.
Send thank-you cards or reminders for referrals.
Data Management & Reporting:
Track marketing performance metrics and assist with the analysis of campaign effectiveness.
Generate reports related to patient intake and marketing efforts.
Key Skills and Qualifications:
Strong Communication: Ability to communicate effectively with patients, office staff,
and marketing partners.
Customer Service Skills: Friendly, professional demeanor in all patient interactions.
Organizational Skills: Ability to manage schedules, keep patient records organized.
Tech-Savvy: Proficient with office management software Dolphin, Microsoft 365, Excel, Social media platforms
Marketing Knowledge: Experience in creating social media content, managing website updates, and performing basic SEO tasks.
Multitasking: Ability to juggle front desk responsibilities and marketing tasks efficiently.
Detail-Oriented: Ensure patient data and marketing efforts are accurate and timely.
Working Environment:
Typically located in an orthodontic practice where the atmosphere is patient-centric and fast-paced.
Interaction with various team members including orthodontists, orthodontic assistants, and other administrative staff.
This position requires an individual who is both a strong communicator and organized with a knack for marketing and customer service. The ideal candidate will play an integral part in making our practice both efficient and visible to potential patients.
Job Type: Full-time
Pay: $15.00 - $26.00 per hour
Expected hours: 38 per week
