Job Summary
We are looking for an Assistant to join our team and support the organization and project managers while providing oversight on projects within our organization. Must poses a college degree, be able to pass a background screening and drug screening.
Responsibilities include coordinating with our department heads, vendors, and freight companies to ensure job progression runs smoothly and tasks are completed on time. This role is also responsible for performing administrative tasks such as managing admin email, answering phone calls, scanning, filing, maintaining project files and some light cleaning .
Duties
- Manage incoming calls and emails, directing inquiries to the appropriate personnel.
- Perform data entry tasks accurately and efficiently.
- Maintain organized filing systems for both physical and digital documents.
- Schedule appointments and manage calendars for staff members and the President.
- Assist with administrative tasks such as preparing reports, memos, and correspondence.
- Maintain job boards and update team members as needed.
- Coordinate with vendors to track orders and shipping dates.
- Collaborate with team members to ensure efficient office operations.
- Run support for Project Mangers and complete tasks as assigned.
- Maintain insurance and registration documents etc. for our fleet
- Manage COI's and waiver correspondence and maintain documentation.
- Maintain office supply inventory and order as needed.
