As part of the Garden’s growing team, the Facilities Coordinator supports the day-to-day operations of the Garden’s facilities, with cleanliness, general maintenance, and event preparation being a major focus of this role. This position ensures that facilities meet high standards for maintenance and appearance, enhancing the overall experience and impression for staff, visitors, and event guests. The Facilities Coordinator actively executes tasks, addresses immediate needs, and maintains a welcoming, functional environment throughout the Garden. This position reports to the Facilities Manager and works closely with other Garden staff members.
Essential Job Functions
- Coordinate and execute event setups with part-time and seasonal staff, including arranging tables and chairs to meet event requirements.
- Communicate event schedules and requirements to team members to ensure timely and efficient preparation of spaces.
- Perform custodial services for assigned areas, including routine cleaning, stocking supplies, and addressing immediate needs in restrooms, event spaces, offices, break rooms, and kitchens.
- Maintain and monitor custodial and maintenance supply inventories, notifying the Facilities Manager of supply needs or concerns.
- Complete assigned maintenance and custodial work orders efficiently and update them in the maintenance management software with detailed notes.
- Perform routine walkthroughs of facilities to identify any maintenance, cleanliness, or safety issues.
- Address minor maintenance and custodial issues, escalating complex concerns to the Facilities Manager as needed.
- Perform seasonal maintenance tasks, including snow removal, leaf removal, and related groundskeeping duties to ensure safety and accessibility.
- Safely operate hand and power tools to complete minor maintenance and repair tasks.
- Assist with other tasks as assigned to support facilities operations at the Garden.
- High school diploma or equivalent is required.
- At least one year of experience in a facilities maintenance, custodial services, event preparation, or a related field required.
- Experience with hand and power tools required.
- Strong attention to detail, organizational skills, and ability to prioritize tasks effectively.
- Basic proficiency in computer systems and mobile applications or willingness to learn.
- Excellent communication skills and ability to work collaboratively with others
Work Conditions
- Ability to lift up to 50 lbs, perform physically demanding tasks (e.g., bending, climbing, lifting), and stand or walk for extended periods.
- Comfortable working in various environments, including indoor and outdoor settings, and in varying weather conditions.
- This is a full-time, non-exempt position requiring weekend and occasional evening availability to support events or special projects.
- Must be willing to obtain background clearances (Child Abuse Clearance; PA State Police Background Check; FBI Fingerprint Background Check)
