Job Purpose: The Manager of Orchestra Personnel along with the Director of Orchestra Personnel is responsible for administering the personnel of the orchestra, including the Paul J. Ross Fellowship program, and acting in the Director’s stead when assigned.
Essential Duties and Responsibilities:
This is a full-time, exempt position with an annual salary range between $55,000 - $62,000 depending upon experience. The PSO offers a comprehensive benefits package which includes paid holidays, paid time off, employer paid health benefits, and retirement savings options with an employer match. Heinz Hall in downtown Pittsburgh is the primary work location for this position, with international and domestic travel as required. The PSO supports a flexible, hybrid work environment, including both in-person and remote work. This position does include working on weekends and evenings during PSO concerts or events.

Essential Duties and Responsibilities:
- Endeavors to create an atmosphere in which musicians can perform at their highest level on a daily basis; develops and maintains an open and communicative environment among musicians and staff; maintains confidentiality and discretion in musician relationships.
- Maintain a thorough knowledge and understanding of the Trade Agreement, work rules, policies, and individual musicians’ contracts. Responsible for addressing musicians’ routine issues and compliance with above parameters. Identify and escalate complex issues to Director of Orchestra Personnel and/or Vice President of Operations.
- As part of Orchestra Personnel Team, supervises and attends PSO services, including rehearsals, performances, and recording sessions. Ensures proper working conditions, correct breaks, and service start and end times. May be required to travel with the orchestra on tour and assist with tour logistics.
- Maintain a thorough knowledge and understanding of all AFM media agreements including IMA. Assists with media session logistics and preparing required media reports.
- Create, update, and distribute casting documents and seating rosters. Work with other PSO staff to maintain all musician rosters for web site, program books, photo wall, and other internal and external needs.
- Complete onboarding steps for all new musicians of the orchestra as assigned. Along with Payroll and Benefits Manager, responsible for new musician employees to complete payroll system set up, and to troubleshoot legal and technical issues. Communicate operational details to substitute musicians.
- Enter and maintain musician attendance records and assist with payroll administration.
- Primary responsibility for implementation of PSO Auditions, under the broad direction of Director of Orchestra Personnel. Duties include management of candidate application process; liaison with audition committees; advertisements; recruitment of candidates as determined by Trade Agreement; communication with candidates; coordination of audition day logistics; manage logistics for trial weeks. Maintain audition demographic and other statistics for analysis.
- Responsibility for coordination of Paul J. Ross Fellows (PJRF) activities. Duties include coordination of activities outside of PSO services such as professional auditions and donor functions; managing fellowship audition process; tracking and reporting of activities and expenses. Assist with fellowship related initiatives such as the PSO’s participation in the Sphinx Orchestra Partner Auditions (SOPA).
- Special projects and other duties as assigned by the Director of Orchestra Personnel and Vice President for Operations.
- Bachelor’s degree required; Degrees in Music or Arts Administration Preferred.
- Minimum three years of experience in arts administration or equivalent.
- Knowledge of orchestral repertoire and instrumentation required.
- Experience with collective bargaining agreements preferred.
- Outstanding communication skills with the ability to maintain trust and confidentiality, ability to work as part of a team.
- Ability to work independently from broad direction.
- Ability to manage multiple tasks simultaneously, and strong attention to detail.
- Excellent computer skills including Microsoft Office suite. Knowledge of OPAS preferred.
- Must be able to work evenings and weekends as assigned.
- Must be able to travel, both domestically and internationally.
- Ability to work on a computer for extended periods of time.
- Ability to operate related equipment, i.e., computer, copier, scanner.
