POSITION: Operations Coordinator

MANAGER: Operations Director
WORK ARRANGEMENT: Hybrid (3-4 days per wk. in office)
STATUS: Full-time (Non-Exempt)
LOCATION: New York, NY 10014
Product Management
- Upload the new season UPC catalog to all warehouses, ensuring accurate UPCs for managing the new season’s business.
- Request new season photos from merchandising, verify they are in the correct format, and independently upload them into RLM.
Order Management
- Assist in inputting sales orders for retail, e-commerce, and wholesale, working closely with the Wholesale and Omnichannel teams to ensure accurate processing, including adjustments between wholesale and retail.
- Maintain accuracy of orders post-market and throughout the season.
- Support incoming EDI POs from North American department stores, ensuring unit and pricing accuracy while flagging discrepancies to the sales team.
- Help develop internal service level agreements to uphold exceptional customer service standards both internally and externally.
- Support cross-functional teams with ad hoc requests to maintain high performance standards.
- Mitigate risk, escalate problems, propose solutions, and execute resolutions as needed.
- Maintain seamless communication with internal partners to ensure smooth logistics and customer service operations.
- Manage communication across departments to resolve issues and outstanding items effectively.
Operations Management
- Accurately and promptly create RTVs for the entire business while coordinating with the warehouse to ensure proper transmission and receipt.
- Support the resolution process for order and return-related issues, collaborating with the sales team to find solutions.
Skills & Qualifications
- 3 years of experience in operations, logistics, or a sales customer service role.
- Experience in luxury or premium goods is preferred.
- Proven project coordination experience.
- Adaptability and flexibility in a fast-paced, evolving business environment.
- Ability to work independently and collaboratively with internal and external partners.
- Strong decision-making skills with a strategic and solution-oriented mindset.
- Strong cross-functional relationship-building skills.
- Experience working with ERP and WMS systems is a plus.
- Exceptional verbal, written, and interpersonal communication skills.
- Proficiency in Microsoft Excel, Office Suite, and Outlook.
- Must visit the Stellae warehouse once per week and as needed upon business request.
- Curiosity and a proactive approach to identifying root causes of issues.
- Strong analytical skills with advanced Excel functionalities and data analysis techniques.
