Program Assistant
2.5 month contract, target start 1/13

- 2 years of administrative experience, ideally from within a University setting
- Strong communication skills to communicate with students via email, in person and on the phone
- 1 year in student support or program coordination

Job Summary/Description:
The Program Support Assistant’s responsibilities will also include assisting with programs and events that are offered by the Office of Student Diversity, Inclusion and Belonging. These events may include large-scale conferences/symposiums and receptions, initiatives for student affinity groups, and other OSDIB enrichment programs. Specific tasks will involve:
·Assisting with program support matters scheduling AV, making room reservations, and coordinating facilities request for office-sponsored events, etc.
· Providing clerical support for the office by answering phone calls and responding to student inquiries and concerns
Responsibilities:
· Assisting with the selection of applicants and maintaining application files
· Collecting, tracking, and maintaining program data throughout the application process and duration of the program while contributing to the mid- program and annual reports
· Assisting with planning and executing program events, including the organization of field trips and college visits
· Providing ongoing college and career counseling of socio-economically disadvantaged high school students for SPREP
· Updating and managing promotional materials as well as social media accounts for programs
· Tracking program alumni and assisting with the development and maintenance of a comprehensive database.
· Assisting with survey and program evaluation processes
· Responding to student questions and concerns via email, phone, and in person throughout the application process and the duration of the program
· Participating in program-related meetings and conferences
Qualifications Minimum Requirements
· High School Diploma and minimum two (2) years of relevant experience (or equivalent combination of education, training, and experience).
· At least one year of experience in student support or program coordination.
· Demonstrated commitment to diversity and inclusion initiatives.
Other Requirements
· Strong interpersonal, writing, and communication skills.
· Proficiency in Microsoft Office Suite, especially Word and Excel.
· Ability to prioritize multiple responsibilities and projects effectively.
· Team-oriented mindset with the ability to build and maintain strong relationships.
· Professionalism in managing relationships with various constituencies.
