POSITION : External Affairs Administrative Assistant RESPONSIBLE TO : Manager of the Office of the CEO REMOTE VS. ON-SITE : 80% remote / 20% on-site (one a day a week in the office) SCHEDULE : hours / week PAY RANGE :  $ - $  / hour Starting Pay Although our full pay range is included above, the budgeted hiring range for this position is $ hour - $ hourNon- Exempt Summary : This position will support and manage the administrative success of the Chief External Affairs Officer (CEAO) . The role will include providing administrative support for the Planned Parenthood Rocky Mountain Action Fund and its committees, meeting management of logistics, collecting and compiling from various sources meeting materials, recordkeeping and electronic file management, creating presentations and distributing meeting materials, and calendar management. Success : You will know you are successful when your teams are supported with logistics and administrative tasks are completed in an efficient, timely, and effective manner. Snapshot : Most days will be spent virtually on a computer managing electronic documents, creating systems to organize information, meeting management of logistics, event planning and coordination, recordkeeping, creating presentations and distributing meeting materials, and calendar management. Some of your time will be spent participating in virtual and in-person meetings in Denver, CO.

Qualifications : You are able to anticipate needs of senior leadership members. As a tech savvy, discrete, trustworthy, and highly organized person with a proven track record of tracking and staying on top of tasks, you are the champion of deadlines and details for others. You have at least 1 year of experience managing logistical and administrative projects through completion. Multitasking is second nature to you, and you are able to work under pressure, juggle competing priorities, and meet deadlines without sacrificing quality. You have a demonstrated ability to adapt to change, learn new things, and are open to feedback and are eager to improve. You are detail-oriented with the ability to notice and fix errors that others might overlook. You are comfortable interacting with people in high level positions on a daily basis and are able to attend meetings before and after business hours. You have excellent verbal and written communication skills and the ability. You are someone who can see 5 steps ahead of what might be needed and plans ahead.

Primary Areas of Responsibility / Essential Functions :

  • Support the Chief External Affairs Officer (CEAO) : You’re a hub for making sure the logistics are in place and the details are attended to for the CEAO. You provide critical support and capacity that ensures they are able to function efficiently and effectively. You take pride in and are motivated by making others’ work easier. To that end, you will anticipate and manage CEAO preparations for internal and external meetings and events including assisting in the preparation, editing and production of correspondence, reports, presentations, and other materials. You will coordinate their schedule, and track, report, and submit expenses for the CEAO and for the External Affairs Directors. You will generate and proofread correspondence for the CEAO. You will act as the Liaison between CEAO and other staff / departments.
  • Support of the PPRM Action Fund Board of Directors : You will serve as primary contact for PPRMAF board leaders and members for information, support, or assistance in their role. You will have primary responsibility for scheduling, recording / providing minutes, and posting materials for PPRMAF board and committee meetings. You will help arrange and support logistics when meetings are held in person or via Microsoft Teams or other technology; this may involve close collaboration with Facilities / IT. You will ensure bylaws, annual plan goals, board policy requirements, and PPFA accreditation standards are met. You will manage and maintain board surveys and evaluations, along with accurate and current board records and files for on-going operations and historical data.
  • General Administrative Support : You will coordinate, monitor, and report on simultaneous projects to ensure adherence to deadlines. You will plan conferences, handle special projects, and coordinate various phases of these plans. You will regularly assess systems used in daily work for improvement opportunities and implement solutions that increase efficiency completion. You will work with a small team of departmental Administrative Assistants to support the agency as needed. In this role you will support our mission of providing reproductive health equity including safe access to abortion, gender affirming care, and family planning for all by ensuring that these teams are able to function as efficiently as possible.
  • Working Environment :

  • Hybrid schedule – you must be able to work in the Denver Park Hill Administrative office on Tuesdays. And work in-person in support of three (3) annual 2-3 day board meetings and an annual departmental retreat.
  • Work in an office environment requiring light physical effort by handling objects up to 20 pounds occasionally and / or up to 10 pounds frequently with or without accommodations.
  • Stationary at a desk for most of the day, working with standard office equipment (such as phone, copier / scanner, and personal computer) with or without accommodations.
  • Ability to coordinate, travel to, and oversee occasional meetings and events in PPRM’s region.
  • Abortion Care :   We all work in abortion care, whether it is referrals, information, education, counseling, performing, scheduling, etc. In this role, you will be preparing materials, arranging logistics, and taking minutes that will include references and discussion about the provision of abortion care
