Job Summary
The Sales & Marketing Assistant reports to and works under the direction of the Vice President of Marketing, Sales and Technical Services. This job involves handling details of a confidential nature, performing secretarial and related services for the Sales & Marketing Department, and maintaining and distributing information related to product pricing. Requires effective communication, organizational and time management skills, along with a broad knowledge of corporate operations and policy.
Main Functions
- Performs standard and advanced secretarial duties for staff and management within the Sales & Marketing Department. Resolves matters of a routine nature to conserve staff’s time.
- Maintains records and files of all pricing information. Maintains and updates price schedules, including those associated with industry indexes. Prepares price change notification correspondence and sends to customers and designated subcontractors in a timely manner.
- Adds new price lists into the ERP system which specify the customer, product, timeframe, and price. Updates all price lists with new products or price changes. Maintains formaldehyde and phenol charges for all products when these charges are in effect. Ensures all products are set up with the appropriate product price code to indicate the correct pricing schedule. Works with Billing Clerk to ensure all pricing is correct prior to invoicing.
- Responds to customer inquiries and requests for Safety Data Sheets, product data sheets, or price lists.
- Updates and maintains files of any assigned department documents, including customer files. Ensure all relevant information and correspondence is included in the appropriate files. Archives files by scanning into document management system as required.
- Collects information needed for conferences, reports, and projects. Prepares or assists in the preparation of regularly scheduled or special reports. Prepares, updates, and maintains assigned procedure and reference manuals.
- Receives Technical Representative’s Call Reports. Files and saves reports in designated locations.
- Composes letters and memoranda from verbal direction or from knowledge of Company policy or procedures. Types a variety of letters, memorandums, and reports in an accurate and efficient fashion using compound, resin, and chemical terminology.
- Ensures work is of the highest quality for distribution to staff and management personnel, and stakeholders outside the company such as suppliers, customers, or the general public.
- Performs general clerical work incidental to word processing and document preparation such as filing, sorting, proof-reading, copying, etc.
- Handles highly confidential messages and correspondence. Answers telephone, responds to routine inquiries, and takes and relays messages. Prepares mailings for Technical Representatives or customers.
Export Functions
- Verifies and transmits quotations to foreign customers. Gathers information (products, pounds, pricing, credit terms, add-on costs, etc.) and generates a Pro Forma invoice for all foreign orders.
- Coordinates with the customer and forwarder to ensure logistics are handled according to agreed upon terms. Ensures all necessary paperwork is accurate and properly completed. Completes Shippers Letter of Instruction for the export transaction, if necessary.
- Creates and provides Certificate of Origin and USMCA Certificate of Origin upon customer request for international trade purposes.
REQUIREMENTS:
- Minimum college degree or equivalent work experience in similar Sales & Marketing role
- Excellent computer skills, including accurate data entry and experience with Microsoft Office.
- Strong detail and organizational skills.
- Ability to prioritize multiple tasks for deadline management.
- Effective communication skills oral and written.
- Ability to work in a team environment with willingness to learn and contribute.
- Maintains highest degree of confidentiality in all work activities.
