The Data Entry Intake Specialist plays a vital role in ensuring accurate and timely entry of data within the organization. This position is responsible for handling a high volume of information over the phone while maintaining a high level of accuracy. The specialist will work closely with various departments to collect, verify, and input critical data into respective systems. This role is fundamental to the organization as it enables smooth operational functions and supports data-driven decision-making processes. The intake specialist serves as a first point of contact for data entry, ensuring all incoming information is accurately processed and logged, which directly impacts efficiency and effectiveness across departments.

Key Responsibilities

  • Receive and process incoming data from customer verification calls.
  • Validate accuracy and completeness of data received.
  • Enter data into specified databases and systems accurately.
  • Conduct verification checks to ensure data integrity.
  • Monitor data entry workflow and report any issues.
  • Provide support to departments regarding data-related inquiries.
  • Maintain confidentiality of sensitive information.
  • Assist in data cleansing processes to improve data quality.
  • Collaborate with team members to streamline data entry processes.
  • Generate reports on data entry progress and accuracy.
  • Identify discrepancies and work towards resolving them.
  • Utilize data entry tools and software effectively.
  • Train new staff on data entry protocols and best practices.
  • Maintain organized records of submitted and processed data.
  • Participate in team meetings to discuss data management strategies.

Required Qualifications

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Proven experience in data entry or similar role.
  • Strong typing skills with a minimum of 50 WPM.
  • Proficient in Microsoft Office Suite (Excel, Word, etc.).
  • Experience with data management software is a plus.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and organizational skills.
  • Ability to handle confidential information responsibly.
  • Good problem-solving abilities and critical thinking.
  • Ability to work independently as well as part of a team.
  • Familiarity with basic database concepts.
  • Previous experience in an office environment is preferred.
  • Ability to prioritize tasks and meet deadlines.
  • Must possess a strong work ethic and professional demeanor.
  • Willingness to adapt to changing work environments and processes.
  • Familiarity with industry regulations regarding data privacy.
