GENERAL DESCRIPTION
Playa Bowls is seeking a dedicated and experienced Facilities Manager to oversee the efficient operation and maintenance of our company owned shops. The Facilities Manager will be responsible for managing vendor relationships, scheduling maintenance, ensuring compliance with safety regulations, and handling day-to-day operational issues. The ideal candidate will possess strong organizational skills, excellent communication skills, a keen eye for detail, and the ability to manage multiple tasks efficiently.
RESPONSIBILITIES
Project Management
- Oversee facility remodels, including on-site meetings with the Operations Director and teams to discuss requirements.
- Collaborate with general contractors to review scopes of work, schedules, and support project timelines.
- Procure new equipment as needed, coordinating the removal of old units and delivery of new ones.
- Develop and implement standardized facility maintenance processes and best practices that can be shared with franchisees to promote consistency, efficiency, and cost-effectiveness across all locations.
Maintenance Coordination
- Schedule and manage bi-annual deep cleans with vendors, ensuring clear communication with the team.
- Oversee grease trap clean-outs, coordinating schedules with vendors and informing the team.
- Manage garbage and recycling programs to ensure compliance and efficiency.
- Coordinate fire extinguisher services with vendors, maintaining up-to-date records.
- Ensure all mercantile licenses are renewed and current for all company-owned locations.
Vendor Coordination
- Manage relationships with HVAC vendors to ensure timely maintenance and repairs.
- Oversee partnerships with various facility service providers to ensure quality and cost-effectiveness.
Daily Operations
- Address daily operational issues such as leaking sinks, fallen shelves, or equipment malfunctions promptly.
- Coordinate smaller maintenance needs within locations, working closely with the maintenance supervisor.
Compliance & Safety
- Ensure compliance with safety regulations and company policies.
- Conduct regular inspections and address any safety hazards promptly.
Additional Responsibilities
- Develop and manage facility budgets, tracking expenditures and optimizing costs.
- Implement energy-efficient initiatives to reduce operational costs and environmental impact.
- Maintain facility-related documentation, including maintenance logs, inspection reports, and compliance records.
- Coordinate emergency response plans and conduct regular drills to ensure staff preparedness.
- Ensure all projects, maintenance efforts, and vendor partnerships reflect Playa Bowls' core values by demonstrating authenticity, fostering positive energy, and supporting teamwork. Prioritize solutions that promote consistency, care, and quality while collaborating with local vendors and empowering team members to succeed.
Experience
- 5-7 years of experience in facilities management, building maintenance, or a similar role, preferably within the restaurant, QSR, or franchise industry.
- Proven experience managing multiple locations, vendors, and maintenance schedules across a regional or multi-state footprint.
- Experience coordinating with contractors, handling renovation projects, and managing budgets.
Technical & Analytical Skills:
- Facilities Management software for tracking work orders, vendor management, and preventive maintenance scheduling.
- Experience with project management tools or platforms for tracking timelines and coordinating tasks.
- Strong skills in Microsoft Office Suite; Excel for budgeting, cost analysis, and data tracking; Word for reporting; and Outlook for communication.
- Ensure compliance with OSHA regulations by effectively using safety reporting tools and incident tracking platforms to maintain a safe and secure environment.
- Ability to interpret data, identify trends in maintenance needs, and make cost-effective decisions based on insights.
- Strong troubleshooting skills for assessing and resolving urgent maintenance issues effectively.
WORK CONDITIONS
- Travel is required for restaurant visitation, scheduled meetings, or company functions; otherwise, work is completed in a home office setting. Some travel may be out of state to Florida or North Carolina.
- Must be available to work weekends as needed or at a minimum take service calls.
ESSENTIAL PHYSICAL FUNCTIONS
- Must be able to remain in a stationary position for prolonged periods.
- Must be able to lift or otherwise move 25-40 pounds occasionally.
- Must be able to retrieve items from high and low shelving, refrigerators/freezers, and under counters.
