Under the leadership of the Clinical Manager, the Assistant Clinical Manager will be responsible for supporting the delivery of therapeutic services to children and adolescents. The Assistant Clinical Manager leads with proactive dedication to clinical excellence, supporting therapists and ensuring the highest standards of care for our young patients. This position involves providing direct clinical care, working with interdisciplinary professionals, and overseeing clinical operations in the absence of the Clinical Manager, all to support an environment focused on quality care and growth.
Key Responsibilities
Specialized Clinical Guidance and Mentorship
- Provide in-session support for providers in the same discipline.
- Provide feedback support in implementing diagnostic or treatment approaches.
- Provide discipline-specific documentation audits to ensure therapist’s documentation meets medical necessity requirements, offering guidance to improve documentation quality.
- Co-sign documents for other therapists in the same discipline.
- Mentor new hires of the same discipline.
- Participate as a primary evaluator on the evaluation team. Will be assigned dedicated evaluation slots on their schedule.
- Address day-to-day questions from therapists, proactively guiding them to solutions.
Interdisciplinary Collaboration
- Provides cross-disciplinary training of treatment approaches.
- Supports therapists in other disciplines to use equipment safely.
- Supports therapists in other disciplines to use strategies related to a client's whole plan of care (i.e. positioning support for SLPs, communication/feeding awareness for PT/OT).
- Collaborates and problem-solves with therapists to help design care plans that provide support across domains of need.
Clinic Operations and Supports
- Completes end-of-day process in Raintree and follows up with therapists to ensure they are meeting expectations.
- Communicates any documentation performance concerns and trends to the Clinical Manager as necessary.
- Supports clinic-themed activity development and implementation.
- Assists with organizing clinic spaces and therapy materials.
- Responsible for communicating needs for replacements or orders of new materials, including inventory and assessments (forms and protocols).
- Escalates any clinic concerns or safety events to the Clinical Manager.
- Assists the Clinical Manager with miscellaneous duties as assigned.
After-hours Management Support
- Provides managerial support with any therapist, client, or family need when the Clinical Manager is unavailable.
- Serves as the manager on duty for a minimum of one evening per week until 6:00 PM.
- Responsible for clinic closing duties when acting as the manager on duty.
- May be asked to provide support when the front desk is unoccupied.
Diagnostic and Treatment Responsibilities
- The therapist will need to be a quick learner, capable of juggling multiple tasks and responsibilities at one time while providing high-touch service to clients, families, and caregivers. As part of the expectations of an evaluating and treating therapist, the Assistant Clinical Manager will:
- Use expertise and creativity to connect with clients.
- Implement a variety of approaches to determine the correct therapeutic fit for individual clients.
- Conduct play-based one-on-one billable treatment sessions.
- Complete tasks as assigned such as completing reports and other required documentation after billable treatment sessions.
- Evaluate client progress and implement changes to therapy programs as required.
- Communicate effectively with clients, families, and caregivers.
- Pursue continuing education opportunities and seek further knowledge to expand areas of expertise within the discipline.
- Adhere to all Playabilities’ policies, procedures, and protocols.
- Maintain client confidentiality in accordance with HIPAA guidelines.

SCHEDULE & PRODUCTIVITY:
Schedule.
- Forty (40) hours/week of availability, spread across five (5) days/week.
- A minimum of one (1) day must include being onsite in the clinic until 6:00 PM to ensure managerial coverage is available.
Time Allocation.
- 32 hours of therapy scheduled per week.
- The Assistant Clinical Manager will reserve three (3) 2-hour timeslots on their schedule for evaluations per week as part of their therapy-provided hours.
- The remaining time outside of direct treatment is available for administrative responsibilities.
