What are the responsibilities and job description for the Office Manager Assistant position at Playful Learning Pediatric Therapy?
Our company is looking for an Office Assistant to be responsible for handling clerical tasks in our office. You will be handling greeting clients and visitors, as well as various clinic tasks, and performing other general office clerk duties and errands. The specific duties are listed out below. Days specifically to include Monday-Thursday.
DUTIES AND RESPONSIBILITIES
· Greets and directs all patients within the practice.
· Is familiar with COVID19 office protocols and assists with procedures to ensure compliance with state mandates.
· Obtaining patient demographic and verifying insurance information at each visit.
· Scanning pertinent patient information into EMR including patient authorizations, referrals, mail delivery via USPS to practice location and filing in patient records and/or drop box library as appropriate.
· Obtaining patient authorization for medical records release (HIPAA compliance).
· Schedules any necessary appointments after completion of patient visit.
· Monitor and review patient schedules for next day office appointments. If there are past due balances, co-pays/deductibles, co-insurance amounts due for upcoming appointment, add to next day appointment notes or otherwise coordinate with Front Desk Manger to resolve with the patient’s caregiver and their appointment.
· Identifying and resolving minor patient billing complaints.
· Assists in ordering, receiving and stocking of office supplies.
· Maintaining cleanliness of waiting room and treatment areas (all common clinic areas).
· Assists other Front Desk Manager and Clinical Therapists as needed.
· Other duties as assigned.
EDUCATION & EXPERIENCE
· Minimum of a High School diploma; Associates Degree preferred.
· At least one-year relevant experience and/or training.
· EMR experience preferred, preferably with Fusion Web Services
· Must have knowledge and proficiency of Microsoft Word and Excel.
