The Custom Project Fulfillment Coordinator assists the Custom Project Manager in the planning, execution, and successful completion of custom projects, ensuring exceptional value, superior customer service, and full project delivery. This role demands a high level of urgency, accountability, and resourcefulness to ensure timely delivery. Precision and attention to detail are essential, as is the ability to foster and maintain professional relationships with both internal and external stakeholders through clear, effective communication.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

ENSURES PROGRESS AND TIMELY COMPLETION OF CUSTOM PROJECTS BY:
  • Serving as a secondary point of contact for all custom projects
  • Assisting in coordinating and documenting key deliverables to maintain comprehensive project timelines
  • Supporting the Project Manager in meetings to track project progress and ensure adherence to established timelines.
FACILITATING ISSUE RESOLUTION BY:
  • Providing support for any project-related challenges, ensuring timely and effective solutions
  • Collaborating closely with sales, purchasing and customer service teams to address and resolve customer issues, ensuring a seamless experience.
  • Identifying and documenting root causes of issues and assisting in the implementation of appropriate resolution strategies.
SUPPORT PROJECT DELIVERY BY:
  • Coordinating with other departments to prepare shipping documents, installation documents, final layout documents and other supporting materials essential for a comprehensive custom project experience.
  • Supporting the collection of information required for custom project meetings (weekly, monthly, quarterly)
ENSURING ON TIME COMPLETION BY:
  • Assisting in maintaining the custom project Smartsheet.
  • Monitoring custom orders for long lead time, high volume items, purchased parts and addressing any discrepancies between MRP systems
CONTRIBUTES TO A TEAM EFFORT, MAINTAINS STANDARD AND ENVIRONMENTAL COMPLIANCE BY:
  • Adhering to all company and industry procedures, rules, and regulations

ADDITIONAL RESPONSIBILITIES:
  • Assist with various functions across the project lifecycle, ensuring smooth transitions from order receipt to shipment
  • Contribute to the preparation and analysis of Key Performance Indicators (KPI’s) to assess project performance and operational efficiency.
  • Collaborate with the engineering team to verify quotes and ensure they are accurately applied to the custom engineering Bill of Materials (BOM)
  • Work closely with Data Administration and Purchasing to set up custom parts in the system for efficient production and inventory management.
  • Monitor and track ship dates using both MRP (Material Requirements Planning) systems to ensure on-time deliveries for both standard and custom orders.
  • Assist in preparing the monthly custom newsletter, ensuring relevant information is communicated to the representative organizations.

QUALIFICATIONS:
  • Undergraduate degree or equivalent of 3 years’ experience in a business environment
  • 1-3 years of project management or related field experience
  • Proficiency with Microsoft Office, Teams, Excel and/or Smartsheet.
  • Strong proficiency in verbal and written communication, along with excellent organizational skills
  • Proven experience in customer service or client-facing roles, demonstrating effective problem-solving and relationship management.
  • Ability to work independently with minimal supervision, as well as collaborate effectively as part of a team.
  • Willingness to travel occasionally as required by the role.
  • Engineering and/or manufacturing knowledge preferred
  • Experience in purchasing is a plus

Compensation:
Compensation for this position will be commensurate with the candidate's experience and qualifications, aligning with industry standards. The hourly/salary range for Lewisburg, PA, is also based upon geographical market standards for the industry and position in those areas.

There is a possibility of a bonus(es) based on individual performance and merit to be paid at the sole discretion of the company, but bonus(es) are not guaranteed unless outlined in writing in the offer letter extended to the candidate selected for the position.
