Title: Bookkeeper
Status: Fulltime permanent
POSITION IN THE PLEASANT POINT HOUSING AUTHORITY
This position represents an area of specialized work in the maintenance and control of personnel and fiscal records. Standardized accounting procedures must be followed in the performance of duties. Trial balances are periodically developed to ensure accuracy of work.
Bookkeeper will work closely with finance officer on a variety of tasks, including but not limited to the following duties. The Bookkeeper is under direct supervision of the Finance Officer and supervises no employees.
DUTIES:
- Maintains personnel files, and personal, annual, and sick time.
- Maintains accurate and proper financial records.
- Assist in billing of Accounts receivable and payroll.
- Reconciles bank statements.
- Prepares Accounts Payable and AP checks for disbursement.
- Assists in Audits preparation.
- Reconciles Tax Credit Accounts
- Reconciles other cash accounts-Security Deposits, and reserve accounts.
- Assisting in issuing purchase orders.
- Prepare deposits and reconciliation of cash receipts.
- Maintains payroll records and reports federal, state withholding, unemployment and Maine State Retirement. Keep records necessary in order to complete IRS Form W-2's and W-3's on a yearly basis.
- Reconciles Credit Cards monthly.
- Maintains vendors and reporting requirements with State of Maine
- Prepare W 2's, W 3's and 1099 at end of calendar year.
- Prepare journal entries recording accounts receivables, accounts payables, payroll etc....
- Provides back-up to receptionist, on as needed basis.
- Other duties as assigned by supervisor.
QUALIFICATIONS:
A minimum of an Associate degree in Business/Accounting or three years' experience in a related field is required. The applicant must be self-motivated, with excellent organizational and collaboration skills, knowledge of Excel and Microsoft Office software a must. Communication and writing skills are imperative. Credibility and confidentiality are equally as important. Candidate must adhere to the Freedom of Information Acts (Confidentiality), comply with personnel polices of the Housing Authority and adhere to the Drug Free Workplace Act.
