Position Overview
PleinAire Design Group Is currently seeking candidates for a bookkeeper position. We are looking for a candidate with a minimum of 5 years of bookkeeping experience. This is a part-time hybrid position in our Santa Maria office.
Responsibilities
- Daily:
- Update all business bank & credit card accounts (4) in QuickBooks via online connections.
- Update all personal bank & credit card accounts (8) in Quicken via online connections (Some of the credit cards won't have daily activity).
- Back up and replace both QB and Quicken backups in Dropbox.
- Check USPS Informed Delivery for any checks coming in the mail and do deposit if necessary or arrange with staff. USPS will email you but if no email is received, check online just to be sure.
- Respond to any emails from staff and clients.
- Maintain customer and vendor lists. Add new clients and projects to QB and sync with QB Time online.
- Weekly or Twice-weekly (depending on volume):
- Go through mail and enter bills into QB.
- Pay bills when due either online or by printing checks.
- Semi-monthly (1st & 16th):
- Import employee hours for previous pay period from QB Time online and prepare employee payroll for employees (all direct deposit).
- Prepare invoices for clients from any project hours imported (usually about 20-odd in number).
- Monthly:
- Email statements at the month-end to any clients with open balances.
- Reconcile all bank and credit card accounts when statements are emailed.
Time Commitment:
- Daily duties take about 1.0 hours (sometimes more dependent on emails received).
- Weekly duties are another 0.5 – 1.0 hours.
- Semi-monthly payroll and invoices take around 4.0 hours, then another 3.0 hours to amend invoices and email to clients, after internal review.
- Monthly duties are 2.0 hours.
- Total time commitment will be 3.0 - 10.0 hours a week.
Skills Required:
- Knowledge and being proficient with QuickBooks
- Knowledge and being proficient with Quicken
- Knowledge and being proficient with Microsoft Office programs.
Qualifications:
- A bachelor’s degree in either:
- Business Administration – Accounting
- Financial accounting
- And/or a related field
- And/or a minimum of 5 years of work experience
