What are the responsibilities and job description for the Home Health Services - Staff Scheduler position at Plymouth Harbor on Sarasota Bay?
The Staff Scheduler is responsible for the daily scheduling of the Home Health team members, to include both Home Health Staff and Private Duty’s. This position will communicate the payroll for the department to Accounting. This position, as needed, will also report appropriate resident billing into the electronic billing system monthly.
DUTIES/RESPONSIBILITIES
1. Record team member attendance and communicate issues regarding attendance, tardiness, and/or missed punches to Director or his/her designee.
2. Share team member PTO requests with Director or his/her designee.
3. Complete other staffing reports as needed for Administration and Health Services.
4. Review daily punch detail report on each team member, verifying hours worked and correcting errors.
5. Assist with identifying any trends in tardiness, call-offs, or missed punches.
6. Work with Director to ensure accuracy of payroll information being provided to Accounting.
7. Supply information as needed by Human Resources to keep the payroll system records current.
8. Complete monthly staffing calendars for Private Duty and Home Health using defined parameters that ensure all staffing needs are met for all areas each day, communicating with staff electronically as well as posting hard copies.
9. Secure coverage for vacant shifts, open positions, and requested time off.
10. Communicate with Director all time off requests and maintain/organize these throughout the year.
11. Communicate scheduling needs, issues, and assignments to Director in a timely manner.
12. Collaborate daily with Director to ensure appropriate utilization of staff and coverage for Private Duty/Home Health.
13. Share in the off hours “on call” responsibility.
14. Address the needs for Long Term Care insurances, as needed.
15. Conduct oneself with the highest degree of honesty and integrity in every interaction.
16. Demonstrate a passion for caring as evidenced by interaction with co-workers, residents, families, and visitors and local staffing agencies.
17. Uphold company policies and procedure and all applicable state, federal and local laws.
18. Follow standard infection control procedures.
19. Maintain work area, equipment, and supplies in a clean, sanitary, and organized manner. Ensure that work areas are neat and confidential materials are properly stored before leaving the area on breaks, end of workday, etc.
20. Work safely; complying at all times with Plymouth Harbor safety standards.
21. Call 555 in the event of an emergency.
22. Discharge properly such other responsibilities and duties as the Director or DON may direct.

SUPERVISORY RESPONSIBILITY
- This position has no supervisory responsibilities.
Education:
- Minimum high school diploma or equivalent.
- Minimum one year of staff scheduling in a medical environment is preferred.
- Minimum of one year payroll.
- Familiar with software for staffing and payroll.
- Must have good organizational skills.
- Must be a detail-oriented person and able to perform duties with great accuracy on a daily basis.
- Must have excellent personal skills, demonstrating the ability to conduct oneself in a non-controversial style; a style that inspires the respect of others and promotes a sense of trust in the individual’s competence.
- Must have good communication skills, speaking, writing, and listening.
- Must be fluent in English.
- Must have excellent computer skills.
- Must be proficient with Microsoft Office programs with emphasis on Excel, Outlook, PowerPoint, Publisher, and Word, with the ability to learn and use proprietary software as required.
