The Transportation Coordinator ensures that transportation services to Plymouth Harbor residents and patients are provided safely, comfortably, efficiently, and reliably.
This position typically works a 40-hour week schedule. However, evening and weekend overtime for cultural events and trips is also required.
This position is a working Coordinator role, and you will be required to fill in for facility or schedule needs as necessary to ensure the continuous and efficient operation of transportation services and related tasks.
DUTIES/RESPONSIBILITIES
Transportation Services
Assure that transportation services for Plymouth Harbor’s residents utilizing its fleet of vehicles are provided in a manner that best benefits the residents of Plymouth Harbor, following routine schedules where applicable.
Ensure that transportation services staff are correctly trained to ensure Plymouth Harbor residents are afforded proper courtesy when utilizing transportation services, including appropriate greetings, opening/closing doors, and assisting in/out of vehicles safely as needed. Respond timely to requests.
Ensure transportation services staff are correctly trained to assist residents in loading/unloading items such as groceries, sacks, walkers, etc., and getting in and out of vehicles.
Coordinate the scheduling of Plymouth Harbor transportation services, including vehicle and driver assignments for the Weekly Transportation Schedule, activity trips, and staff errands.
Ensure every effort is made to obtain optimum vehicle performance by complying with vehicle manufacturers’ recommended maintenance service schedules.
Ensure transportation services staff clean all fleet vehicles (interior and exterior).
Assist with valet functions as directed.
Monitor smartphone and communicate with other Drivers and Resident Services Coordinator.
Ensure transportation services staff is correctly trained to ensure all passengers are correctly restrained before engaging vehicles.
Follow all local, state, and federal guidelines for the safe operation of vehicles.
Make routine maintenance/service arrangements and promptly complete repairs.
Maintain travel and vehicle maintenance logs as required.
Assure that travel and vehicle maintenance logs are maintained as required.
Assure that departmental equipment/supplies are tracked and orderly.
Maintain appropriate Sarasota County Non-Emergency Transportation Services (NEMTS) permitting and records.
As requested, participate in preparing and updating the written policies and procedures for providing transportation services.
Stay current on regulations governing the operation of motor vehicles and ensure that other drivers do the same.
Serve as a member of Plymouth Harbor’s Emergency Management Team, including participating in providing transportation for Plymouth Harbor residents and supplies should the need to evacuate arise and returning residents and supplies when safe return is indicated.
Attend workshops, seminars, and mandatory in-services as approved or required.
Develop and maintain a marketing plan to ensure continued growth of transportation services.
Develop a weekly and monthly status report for transportation services and present it to the Director of Safety Services.
Liaison with Home Care to ensure transportation needs are met.
Ensure all fees related to transportation services are current and updated when necessary.
SUPERVISORY RESPONSIBILITY
Participating in the interviewing, selection, hiring, and training of drivers and valet, as directed.
Preparing daily driving assignments for drivers.
Maintaining quality control of service by all drivers and valet.

QUALIFICATIONS
Education:
- High school graduate or equivalent.
- Must have prior hospitality/customer service experience.
- Must be able to operate vehicles with automatic and standard transmissions.
- Must have good organizational skills.
- Must be detail-oriented and able to perform duties with great accuracy daily.
- Must have excellent personal skills, demonstrating the ability to conduct oneself in a non-controversial style. This style inspires the respect of others and promotes a sense of trust in the individual’s competence.
- Must have good communication skills: speaking, writing, and listening.
- Must be fluent in English.
- Must have good computer skills.
- Must be proficient with Microsoft Office programs emphasizing Outlook, Excel, and Word, with the ability to learn and use proprietary software as required.
- Current Commercial Driver’s License (CDL) for Class C or higher vehicles with a Passenger Endorsement from the State of Florida.
- Current CPR certification.
