Job Title: Box Office/Administrative Assistant

Overview:
The Plymouth Philharmonic Orchestra (the Phil) is seeking a box office/administrative assistant. This position will be responsible for selling tickets, answering phones and emails, processing payroll, volunteer management, subscription coverage, scanning and uploading bills to the bookkeeper, and completing other clerical functions while providing high-level customer service to Phil patrons.
We are seeking an energetic, positive, highly detail-oriented professional who is personable and has experience in customer service, working in a multi-task environment, problem-solving, and is a quick learner (especially with technology). Part-time schedule to be determined based on organizational needs (up to 32 hours a week). Box Office/Administrative Assistant is required to be present at all concerts and events. For concerts or events, the Administrative Assistant's hours will be adjusted within the week of the concert to accommodate concert hours.
QUALIFICATIONS:
- Ability and willingness to be a team player
- Prior experience in sales and customer service
- Experience processing payroll and handling confidential employee records
- Strong volunteer management and coordination skills
- Excellent interpersonal and customer service skills
- Ability to deal with a wide range of people and issues while maintaining composure
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite/Google or related software
- Experience with ticketing and subscription management systems preferred
- Excellent organizational skills and attention to detail
- Ability to learn new systems including but not limited to organization ticketing system, Spektrix
- Basic understanding of clerical procedures and systems such as record keeping and filing
- Willingness to acquire knowledge of the organization's history, fundraising efforts, and programming
- Ability to work independently
- Ability to adapt to shifting priorities and manage multiple tasks
JOB DUTIES AND RESPONSIBILITIES:
- Support all matters handled by the Executive Director to support the growth of the Phil
- Process and enter payroll information accurately and timely
- Manage and coordinate volunteers for concerts and special events
- Assist head ushers with scheduling and contacting ushers
- Assist with box office and subscription management, including selling tickets during scheduled hours
- Serve as a back-up for the Box Office at concerts
- Fulfill ticket orders and assist in preparation of mailings
- Answer phones and respond to inquiries regarding events, ticket sales, and general Phil information
- Maintain office supply inventory and inform Executive Director of office needs
- Maintain office postal needs, including but not limited to managing stamps.com account
- Maintain office filing system as assigned
- Provide musician hospitality at rehearsals and concerts
- Responsible for maintaining Phil backup collateral, including but not limited to program books, news articles, and past season marketing materials.
- Responsible for maintaining and putting up patron signage at all concerts.
- Prepare cocktail party guest lists and name tags
- Work with Marketing Manager to update and maintain community calendars
- Scan and upload bills to the bookkeeper for processing
- Improve patron and community relations through active communication and problem-solving efforts and refer issues to the Executive Director
- Maintain superior customer service and a positive attitude
- Perform other duties as assigned
