The constituent data manager is responsible for the management and use of the database containing the University’s records on its alumni, donor, and prospective donor records. A software “power user” the manager is the primary report writer and report resource, and the division’s service provider regarding data segmentation and data pulls. Responsible for the integrity of the database including security and access, data cleansing, data standards, and consistency in data entry. Responsible for publicly-reported facts and figures related to University Advancement efforts.

Duties And Responsibilities
- Serve University Advancement and campus data needs related to constituent data and fulfill requests in most efficient methods. Where possible, develop standard and routine reports, train others to fill their own data needs, and advise on efficient use of the software.
- Oversee the constituent database and assure the integrity of its data by writing, training others on, and enforcing data standards, performing regular data cleansing, and overseeing access.
- Perform global changes to and additions of constituent records such as the annual download of new graduates into alumni records. Make recommendation about what constituent information should be tracked and how.
- Schedule and perform routine data cleanse processes, coordinate data audits, and ensure timely input of data updates received from constituents, campus, public sources, etc.
- Coordinate major data integration with third party vendors for purchased products and services, such as wealth screenings and data enhancement.
- Serve as University Advancement’s primary reporter for publicly-reported data (such as alumni participation rates, total dollars raised, etc.) for the Voluntary Support of Education report, US News and World Report, USNH and other requested reports.
- Collaborate with Director on routine integration of data between different software platforms across campus and assist in establishing processes for data consistency.
- Manage access to database, passwords, new account set-up, and provide monthly security reports. Coordinate user needs for software training and collaborate with Director to meet training needs.
- Analyze data and create strategies to increase the quality and quantity of data captured in the donor database.
- Oversee in the maintenance of data tables in the constituent database.
- Support Annual Giving, Planned Giving, and Major Gifts segmentation efforts with data analysis for solicitation and reporting purposes.
- Hire, train and supervise the student staff.
- Bachelor’s degree and two years of experience in information technology field, Associate’s and four years, or combination of education and experience equal to six years.
- Broad knowledge of several areas of information technology and knowledge of specialty area as required by employing unit.
- Overall information technology skills as required by employing department/unit.
- Organizational skills and effective oral and written communication skills.
- Supervisory ability.
- Familiarity with Blackbaud Raisers Edge or other Customer Relationship Management software.
- Experience working in a non-profit and/or higher education environment.
- Advanced knowledge of data formats such as Excel and CSV.
- Ability to manipulate and analyze large data sets.
- Eagerness to learn and adapt to new technologies and tools.
- Basic accounting and/or financial systems knowledge.
- Be a proactive problem solver and take initiative.
- Strong analytical skills to identify data discrepancies and ensure data integrity.
