Job Overview:

We are seeking a professional, friendly, and organized MedSpa Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and play a vital role in delivering a seamless and exceptional client experience. The MedSpa Receptionist will manage front desk operations, client scheduling, and administrative tasks while maintaining a welcoming and professional environment.

Key Responsibilities:

  • Greet and Welcome Clients: Serve as the first point of contact for clients, providing a warm and friendly welcome. Ensure all clients feel comfortable and informed about their scheduled services.
  • Appointment Scheduling: Manage appointment bookings, cancellations, and rescheduling through our scheduling software. Ensure accurate and efficient scheduling to maximize service availability.
  • Client Inquiries: Handle incoming calls, emails, and in-person inquiries related to services, pricing, and promotions. Provide detailed information and answer questions to assist clients in making informed decisions.
  • Check-In and Check-Out: Efficiently handle client check-in and check-out processes. Ensure all necessary forms and consents are completed and collected.
  • Payment Processing: Handle payment transactions, including cash, credit card, and gift card sales. Ensure accuracy in payment processing and maintain confidentiality of client information.
  • Maintain Cleanliness and Organization: Keep the reception area, waiting room, and front desk organized and presentable. Ensure marketing materials, brochures, and product displays are stocked and up-to-date.
  • Administrative Support: Assist with administrative tasks, including filing, data entry, and maintaining client records. Support the medical and aesthetic staff as needed.
  • Promotions and Product Sales: Inform clients about current promotions, loyalty programs, and retail products. Encourage product sales and service upgrades to enhance the client experience.
  • Customer Service Excellence: Provide exceptional customer service at all times. Address client concerns, feedback, or complaints professionally and escalate issues to management when necessary.

Qualifications:

  • High school diploma or equivalent; additional education or certifications in office administration or customer service is a plus.
  • Previous experience as a receptionist or in a customer service role, preferably within a medical spa, beauty, or wellness industry.
  • Strong interpersonal and communication skills, with a professional and courteous demeanor.
  • Proficiency in using scheduling and customer management software
  • Basic knowledge of aesthetic and wellness treatments offered in a medical spa setting is preferred.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Ability to handle confidential information with discretion.
  • Positive attitude, team-oriented, and a proactive approach to problem-solving.

Job Types: Full-time, Part-time

Pay: $16.00 - $21.00 per hour

Expected hours: 20 – 40 per week

Experience:

  • Customer service: 2 years (Preferred)
  • Computer skills: 2 years (Preferred)
  • Aesthetic Med Spa: 1 year (Preferred)
