We’re looking for an organized and dedicated Sales Coordinator who will support the sales organization at the hotel. This individual will keep the team on track throughout the sales processes and coordinate with the hotel operations teams to ensure clients arrive and leave happy. This is the perfect role to get your foot in the door of hotel sales!
This a full-time, onsite, non-exempt position that reports to the Director of Sales & Marketing. The compensation range for this position is $27-$31 per hour.

What You Will Do
- Entry-level position, with all work occurring on-site, no remote component.
- Communicate and coordinate needs of group/meeting/corporate guests, VIPs, and contracted clients on a daily basis.
- Keep a constant record of arrivals and departures of contracted reservations to identify all VIP, BT, consortia, and group reservations in Opera PMS; set up routing, notes, alerts, et cetera as appropriate.
- Create unique experiences for guests by providing creative, personal touches for VIPs and clients.
- Prepare and send correspondence, proposals, reports, and contracts as directed by Director of Sales and Marketing.
- Qualify and respond to inquiries for group sales and negotiated account reservations; prioritize responses to all requests for proposals from potential clients, guests and meeting planners prior to the end of each business day, or at least within 24 hours (one business day).
- Follow up on RFP responses and services offered to determine customer priorities and understand next steps to secure business (i.e., ask for business).
- Work with group planners to ensure efficient entry of rooming lists and special needs to confirm group reservations.
- Maintain and complete trace follow-ups within Delphi Amadeus Advanced sales system to ensure client needs are met and/or exceeded.
- Coordinate room assignments, welcome cards/amenities to meet the needs of all groups and VIP daily arrivals.
- Create and update group bookings in Delphi with negotiated contract terms and concession details in support of accurate reporting and management of room blocks, rates, cutoff dates, deposits and attrition terms.
- Complete sales/marketing projects and special assignments when necessary and as assigned by Director of Sales and Marketing.
- Prepare weekly activities and group resumes for the sales department and distribute.
- Effectively organize and service group/catering functions to successfully meet or exceed all needs prior to arrival, onsite and post-departure.
- Provide exceptional customer service as a priority and ensure service standards delivered are in line with goals and expectations established by the sales department.
- Process accurate routing and special billing arrangements for groups and preferred corporate guests according to contract; post billing daily as needed for events and close out all outstanding group charges in timely manner.
- Detail, monitor and update group/catering booking details to ensure accuracy and consistency of meeting setup and accurate reporting of revenue for groups/events.
- Support all marketing efforts, social media initiatives and campaigns as assigned by Director of Sales and Marketing.
- Manage department amenities, sales collateral and supplies.
- Follow up with appropriate departments and team members as needed to confirm successful completion and delivery of all services requested by the sales and marketing department.
- Promote a fun, creative, supportive and inviting atmosphere for all customers and team members.
- Responsible for coordinating the smooth check in and check-out of group guests, VIPs, and contracted clients.
- Carry out any other reasonable duties and responsibilities as assigned.
