What are the responsibilities and job description for the Office/Lifestyle Manager position at PMI Capstone?
Beautiful community in Palmer Ranch area is looking for a full-time onsite Office/Lifestyle Manager for immediate hire.
Summary: The general purpose and role of this position is to support the Community Association Manager and Board of Directors with administration of the daily operations, provide excellent customer service, operations oversight, respond to owner requests as appropriate, and provide assistance and support to the Lifestyle Committee.
General Duties and Responsibilities:
· Work alongside the CAM and Board to facilitate the day-to-day needs of the community.
· Receive incoming resident and vendor calls, take action as appropriate and keep CAM informed.
· Assist CAM with processing lease applications as appropriate.
· Complete key cards and transponders forms and notify Main Gate to activate.
· Maintain gate access files and ensure they are current and complete with appropriate documentation.
· Answer questions from realtors and perspective buyers regarding the community.
· Email and post Board meeting agendas prepared by CAM to owners.
· Assist with mailings to residents as directed by CAM.
· Provide Welcome Package and assist with the orientation of new owners.
· Prepare main room for Board, membership, committee meetings, and social activities/events.
· Comply with HOA’s policy re: purchases; oversee purchasing of office and AC supplies and use of Cobblestone credit card.
· Ensure Board and resident files are complete and properly maintained.
· Ensure administrative paperwork is accurate, complete, and submitted on a timely basis.
· Ensure distribution of all HOA issued notices to residents.
· Consistently follow policies of the community and aid in enforcement of policies, rules and regulations.
· Maintain AC (inside and pool/patio area) appearance and ensure repairs are noted and forwarded to appropriate individuals.
· Ensure that unsafe conditions are reported immediately.
· Attend ARC meeting and assist in sending letters regarding ARC applications.
· Foster owner satisfaction and build goodwill.
· Identify ways to improve services and provide options and recommendations to the Board and CAM.
· Maintain files (electronic and hard copy) of legal opinions. Maintain a current list of topics (by date/subject matter).
Lifestyle Committee Responsibilities:
· Attend committee meetings.
· Serve as committee chair.
· Maintain sign-up sheets for activities/events.
· Collect deposits when needed.
· Prepare the necessary space for activities/events at the AC.
· Prepare minutes and agendas for lifestyle committee meetings.
· Coordinate activities/events and assist committee members as needed.
· Make phone calls and communicate to vendors as appropriate.
· Assist vendors with gate access.
· Develop monthly calendar of activities/events and distribute.
· Attend lifestyle activities/events.
Physical Requirements and Job Conditions:
· May be called upon to lift, move or carry objects that weigh up to 25-45 lbs.
· Ability to sit and walk for long periods of time.
· Ability to move around the AC /Association property to observe and participate in job activities as listed.
· Acknowledge duties may be changed at the Board’s discretion based upon the agreement of the Board and PMI Capstone.
Required Skills:
· Computer skills: Internet, MS Office Suite (Word, Excel, PowerPoint, Outlook), and Capstone Management System and Cobblestone portal.
· Excellent customer service skills.
· Excellent verbal and written communication skills.
· Previous experience in homeowner association or property management field is preferred
Salary : $55,000 - $65,000
