Herschend is seeking an Executive Assistant to support the leadership team and our newest hospitality venture, Dolly Parton’s SongTeller Hotel located in the heart of Downtown Nashville. The ideal candidate will have a passion for hospitality and teamwork, excellent communication skills and a proven track record in organization, managing small projects, scheduling and administrative responsibilities.

POSITION ROLES & RESPONSIBILITIES
- Coordinate and manage calendars of hotel and hospitality leadership teams, scheduling appointments and meetings
- Organize travel arrangements, including flights, accommodations, remote work setup, and local transportation.
- Coordinate communication on behalf of leadership team with vendors, ownership, and internal stakeholders.
- Monitor and manage inboxes, responding where appropriate, flagging high-priority items, and ensuring timely follow-up.
- Manage expense reports, correspondence, screening phone calls, facilitate timely and effective communication and follow up.
- Coordinate plans and small projects with other leaders, providing assistance where needed.
- Maintain a high level of confidentiality, discretion and integrity with business activities and operations.
- Attend and, as applicable, manage minutes for leadership meetings.
- Manage tenant relationships.
- Complete projects and tasks as assigned by senior leadership team.
POSITION REQUIREMENTS
- At least three years of related experience in a professional setting is required.
- Excellent communication skills, with the ability to communicate effectively with all levels of the organization.
- Highly organized with exceptional time management skills.
- Ability to manage competing priorities.
- Incredibly trustworthy with the ability to handle sensitive and confidential information.
- Advanced technical proficiency with the ability to quickly learn new software and leverage technology to streamline tasks and solve problems efficiently.
- Experience with Office 365 and Microsoft products: Excel, Word, Outlook, Teams, etc. Project Management software experience a plus.
