We are seeking a highly organized and proactive Office Administrator Assistant to join our team. The ideal candidate will be responsible for various day-to-day office operations, providing exceptional customer/patient-oriented service, and ensuring that administrative tasks are completed accurately and efficiently. Responsibilities
- Serve as the first point of contact for business clients and patients, ensuring a professional and friendly atmosphere.
- Manage incoming calls, emails, and correspondence, directing inquiries to appropriate personnel as necessary.
- Maintain organized filing systems, both electronic and paper-based, to ensure easy access to important documents.
- Utilize QuickBooks for basic accounting tasks, including invoicing and tracking payments.
- Assist with managing calendars for staff members and physicians.
- Ensure office supplies are stocked and manage inventory levels to support daily operations.
- Provide administrative support by preparing reports, documents, and presentations as needed.
- Collaborate with team members to improve office processes and enhance patient service experiences.
- Utilize programs effectively for document creation, data management, and communication.
Qualifications
- Proven experience in an office administration role or similar position is preferred but not necessary .
- Strong customer/patient service skills with a friendly demeanor and professional attitude.
- Proficiency in QuickBooks and other needed applications is highly desirable.
- Excellent time management skills with the ability to prioritize tasks effectively.
- Strong attention to detail and organizational skills to maintain accurate records.
- Experience as a receptionist/assistant or in a healthcare setting is a plus but not mandatory.
- Ability to work independently as well as part of a team in a fast-paced environment.
