Administrative Assistant
Pocono Township, Monroe County, PA

Pocono Township is seeking a qualified applicant to serve in a full-time position as an Administrative Assistant. This position reports directly to the Township Manager.
Job Responsibilities:
§ This position requires front desk receptionist duties, including answering phones, assisting the public with service requests, and a variety of secretarial and administrative duties. Strong organization, planning and customer service skills are required.
§ Respond to public inquiries proactively, informing individuals of Township rules and regulations; explaining procedures; receiving complaints; and referring individuals to the responsible official or individual for resolving issues.
§ Utilize active listening skills and maintain a pleasant, respectful demeanor at all times.
§ Receive and respond promptly to phone, email and walk-in requests. Maintain a calm and professional demeanor when faced with conflict or irate visitors.
§ Assist in the preparation of agendas, supporting documents and minutes for meetings of the Township Board of Commissioners and Planning Commission.
§ Maintain minutes, resolutions and ordinances for the Township.
§ Assist the public with permit applications and provide administrative support to the Township Zoning Officer.
§ Provide administrative support for applicants going through the land development process and assist with coordination of plan review with the Township engineer and solicitor.
§ Maintain Township files and records, including property files. Organize and update various Township databases as needed.
§ Process incoming and outgoing mail.
§ Receive and process applications and fees.
§ Ensure privacy of confidential records, correspondence and files.
§ Order and maintain inventory of office supplies, electronic ordering.
§ Ability to perform occasional physical activities including standing, walking, squatting, reaching, bending and lifting.
§ Assisting Asst Public Works Manager with event planning
§ Establish positive working relationships with co-workers, other department employees and the public. Provide professional administrative support to the Township Manager and other department heads as necessary.
§ Other duties as assigned by the Township Manager.
Minimum Requirements to Hold Position:
§ Three years of experience in municipal government, NGO, non-profit, or related clerical, administrative, management or business field.
§ Working knowledge of the principles and practices of local government is preferred.
§ Must have strong communication skills, both written and verbal, including excellent grammar and composition.
§ Must possess customer service and time management skills.
§ General knowledge of office management practices and procedures.
§ Candidate should possess excellent computer and technological skills, including all Microsoft Office programs, and ability to operate municipal permitting software as the Township moves toward a paperless environment.
§ Self-motivated and able to complete job functions without supervision.
§ Capability to work as a team player in a dynamic office environment.
§ Rec-Desk experience preferred
§ TRAISR experience preferred
§ Munici-Pay experience preferred
