Position Overview: In this role, you’ll be responsible for coordinating the movement of our fleet across multiple cities. The ideal candidate has a strong dispatching background, excellent problem-solving skills, and experience with the intermodal trucking industry in Texas.
Savannah, GA and Denver, CO geographical knowledge is a huge plus!
Duties
- Manage fleet operations by scheduling and dispatching vehicles efficiently.
- Manage and coordinate the movement of intermodal containers in compliance with company guidelines and customer expectations.
- Utilize transportation management systems to track shipments and monitor delivery schedules.
- Communicate effectively with drivers and clients to provide updates on delivery status.
- Analyze logistics data to optimize routes and improve overall efficiency.
- Maintain accurate records of shipping and receiving activities.
- Employ GPS technology to monitor vehicle locations and ensure timely arrivals.
- Handle phone systems with professionalism, addressing inquiries from clients and drivers promptly.
- Collaborate with team members to resolve any issues that may arise during transportation processes.
- Work with drivers, warehouses, and customers to optimize scheduling and ensure on-time performance.
- Resolve any operational issues promptly to minimize delays and optimize efficiency.
- Track shipments and manage driver dispatch across multiple cities with a primary focus on the Dallas market.
- Provide clear communication to drivers, customers, and the management team regarding any scheduling changes or updates.
- Communicate with customers in hopes of upselling and acquiring new work to increase capacity for the Company
- Oversee fleet size of approximately 20 drivers with the expectation to incur growth at no cap.
- Communication and Relationship Building:
- Communicate effectively with drivers, customers, and railroads to coordinate pick-up and delivery times.
- Speak with drivers about next day’s loads if needed.
- Communicate with customers to build relationships and provide updates on delivery status.
- Update customers on ongoing issues, questions, or changes during delivery/pick-up.
- Communicate with customers in hopes of upselling and acquiring new work to increase capacity for the company.
- Provide clear communication to drivers, customers, and the management team regarding any scheduling changes or updates.
Daily Operations and Scheduling:
- Monitor emails throughout the day.
- Schedule and dispatch drivers, equipment, and freight shipments efficiently.
- Find loads for the next day using drivers returning or local drivers, prioritizing logistical efficiency.
- If slow, contact Kyle and look a few days ahead using load boards to find needed loads.
- Confirm all information at Port and Rails is updated to pick up or receive Import/Export containers.
- Verify export boards on Profit Tools are updated with:
- First Receiving Date
- Cut-Off Date
- Last Free Date
- Empty Container Pick-Up/Return Depot
- Utilize transportation management systems to track shipments and monitor delivery schedules.
- Employ GPS technology to monitor vehicle locations and ensure timely arrivals.
Problem Solving and Escalation:
- Check for issues and resolve them promptly.
- Address any potential or current problems with Ernie to troubleshoot.
- Collaborate with team members to resolve any issues that arise during transportation processes.
- Resolve operational issues promptly to minimize delays and optimize efficiency.
Fleet Management:
- Manage fleet operations by scheduling and dispatching vehicles efficiently.
- Track shipments and manage driver dispatch across multiple cities, with a primary focus on the Dallas market.
- Oversee a fleet of approximately 20 drivers with expectations for growth.
- Manage and coordinate the movement of intermodal containers in compliance with company guidelines and customer expectations.
Performance and Efficiency:
- Analyze logistics data to optimize routes and improve overall efficiency.
- Work with drivers, warehouses, and customers to optimize scheduling and ensure on-time performance.
- Ensure compliance with all safety regulations and company policies.
- Maintain accurate records of all shipments, shipping/receiving activities, and communications.
Collaboration and Support:
- If dispatching is done for the day but the business is still open and your “shift” has not reached it’s end, collaborate with other operations team members to help complete tasks.
- Example: Assisting the Customer Service Representative with inputting work orders.
Additional Responsibilities:
- Handle phone systems with professionalism, addressing inquiries from clients and drivers promptly.
- Monitor shipment status and update tracking systems as needed.
- Ensure that everything runs smoothly by coordinating with customers and providing precise logistics for drivers to follow along their routes.
- Other tasks/projects as requested by the Company
Requirements
- 5 years of intermodal dispatching experience.
- Proven experience in dispatching or logistics management
- Geographical knowledge and work experience in one of the following locations; Dallas, TX; Savannah, GA or Denver, CO markets
- No non-compete/non-disclosure agreement in place at the time of interview
- Must have current relationships with customers that you would be able to bring on as new customers for the Company.
- Familiarity with fleet management practices and transportation planning.
- Strong phone etiquette and communication skills for effective interaction with various stakeholders.
- Ability to analyze data and make informed decisions quickly.
- Knowledge of shipping and receiving processes
- Proficiency in using GPS systems and other relevant technology.
- Must be detail-oriented, organized, and able to work under pressure.
- Strong communication and problem-solving skills.
- Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
- Must be willing to travel as requested by the Company for training and other needs; percentage of travel time expected to be less than 25% each year.
