Position Summary:

The Administrative Assistant plays a crucial role in the daily operations of our home health agency, supporting staff and ensuring that administrative tasks are completed efficiently and accurately in timely matter. This individual will handle various office duties, including managing patient records, supporting billing processes, and communicating with patients and staff. Willing to travel. The ideal candidate is detail-oriented, organized, and able to work in a fast-paced healthcare environment.

Key Responsibilities:

  • Administrative Support:
  • Perform data entry, update patient records, and maintain accurate and confidential files in compliance with HIPAA regulations.
  • Prepare, scan, and file various documents, including patient records, physician orders, and billing forms.
  • Assist with general office tasks, including managing emails, faxes, and office supply orders.
  • Scheduling and Coordination:
  • Coordinate patient visits by scheduling appointments and updating calendars for field staff.
  • Communicate scheduling changes to patients and caregivers, ensuring all parties are informed of updates or cancellations.
  • Work closely with the clinical team to ensure all necessary documentation is complete and accurate for patient visits.
  • Customer Service and Communication:
  • Serve as the main point of contact for incoming calls, directing them to the appropriate departments and taking messages when necessary.
  • Respond to patient and family inquiries with professionalism, offering clear information about services and agency procedures.
  • Foster positive interactions with patients, families, and healthcare professionals to support a respectful and supportive atmosphere.

Qualifications:

  • Education: High school diploma or equivalent; post-secondary coursework in office administration or healthcare management is a plus.
  • Experience: Previous experience in a healthcare office or home health setting is preferred, but not required.
  • Skills:
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with electronic health record (EHR) systems is advantageous.
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Commitment to confidentiality and ability to handle sensitive information appropriately.
  • Decision making ability while balancing competing priorities.

  • Other Requirements:
  • Friendly, professional demeanor with excellent customer service skills.
  • Ability to adapt to changing priorities and work both independently and as part of a team.
  • Bilingual in Spanish and English is a must.

Working Conditions:

  • Standard office-based role with regular business hours.
  • Must adhere to all agency policies, including compliance with HIPAA and patient confidentiality regulations.

Job Type: Full-time

Pay: From $16.00 per hour
