Program Supervisor Responsibilities:
  • Staff Communication & Performance: Maintain effective communication with district personnel regarding staffing, referrals, IEP accommodations, BIP implementation, and staff performance. Document all communications, actions taken, and ensure proper follow-up procedures. Collaborate with People Operations to implement corrective actions and development plans for staff performance issues.
  • Business Development & Collaboration: Drive new business opportunities in both new and existing regions. Collaborate with internal teams (Recruitment, People Operations, etc.) to ensure swift hiring workflows and fulfillment of staffing needs.
  • Training & Support: Work with the Assistant Program Supervisor to provide training and resources to lead aides and ensure they effectively support field staff. Manage daily schedules of site supervisors, prioritize tasks, and address urgent issues as needed. Assist with creating robust training materials in collaboration with Learning & Development, ensuring all mandatory staff trainings are up to date.
  • Staffing & Evaluation: Monitor staffing levels and collaborate with recruitment to ensure the appropriate number of requisitions are open for each region. Track staff performance through evaluation benchmarks (90-day, mid-year, annual) and establish timely procedures for staff reviews.
  • IEP & Behavioral Intervention: Attend IEP meetings as a representative of PQ administration, providing data on behavioral goals and answering team questions. Collaborate with the Behavior Intervention Development and Planning (BID) team to ensure requested services are accounted for and implemented.
  • Documentation & Compliance: Ensure proper completion of staff documentation, including SIRs, BERs, and injury reports, and communicate them to district administration. Work with HR to retrieve required staff documents (e.g., workers' comp, medical notes, etc.) within specified deadlines. Oversee the maintenance, archiving, and security of student files for compliance.
  • Billing & Payroll: Collaborate with the billing department to ensure accurate attendance logs and timely monthly billing submissions. Approve timecards for lead aides, administrative assistants, and assistant program supervisors, ensuring compliance with payroll deadlines.
  • Site Monitoring & Program Fidelity: Visit district sites to monitor the fidelity of program implementation. Ensure that staff are qualified and appropriately matched with students/sites within their competence level, coordinating with the lead team for substitute staffing.
  • Departmental Coordination & Problem Solving: Communicate effectively with the Assistant Director and Director of Pediatrics to address departmental issues. Maintain open communication about departmental practices and special circumstances.
  • Operational Support: Plan and document annual all-staff in-person training. Provide staff termination notices to HR, ensuring required documentation is completed. Collaborate with the team to manage office supply needs and submit orders for critical inventory.
  • Additional Duties: Perform other duties as assigned by the Director or Assistant Director of Pediatrics.

Program Supervisor Qualifications:
  • Education & Experience: BA and 2-5 years of experience in education/special education service provision.
  • Technical Skills: Proficient in Google and Microsoft Suites; computer literate with standard software and internet applications.
  • Clearances: DOJ/FBI Live Scan Background & TB Clearance required.
  • Certifications: Pro-Act, CPI, and/or CPR certification preferred.
  • Behavioral Knowledge: Familiarity with ABA practices and the IEP process, including 504 & 535 services.
  • Interpersonal Skills: Strong communication and organizational abilities; effective in managing multiple tasks and professional relationships.
  • Problem-Solving: Detail-oriented with excellent accuracy and decision-making skills.
  • Professionalism: Reliable, flexible, and capable of handling difficult conversations with professionalism and composure.

Program Supervisor Physical Requirements:
  • Lifting, carrying, pushing, and/or pulling up to 50 lbs.
  • Ability to stand, walk, stoop, kneel, and climb as needed.
  • Indoor and outdoor settings, exposure to varying weather conditions.
  • Possible exposure to dust, chemicals, and diseases.
  • Regular interaction with staff and the public.
