Executive Assistant Responsibilities:
  • Communication, Document & Organizational Management: Efficiently oversee all incoming and outgoing communications (emails, phone calls, reports), while maintaining a highly organized system for critical documents (physical and digital) to ensure quick access and streamlined workflow.
  • Calendar & Schedule Optimization: Manage the CEO's calendar, scheduling appointments, events, and virtual meetings, and provide daily briefings to ensure a smooth and productive day, proactively resolving conflicts when necessary.
  • Gatekeeper & Contact Management: Serve as the primary point of contact for vendors, clients, and colleagues, prioritizing requests and managing access to the CEO.
  • Research & Reporting: Conduct in-depth research and prepare concise, data-driven reports on key topics, offering actionable insights that support informed decision-making.
  • Event Coordination: Lead the planning and execution of corporate employee events, handling logistics and ensuring seamless delivery.
  • Business Travel Coordination: Manage all aspects of business travel for the CEO, including booking airline tickets, rental cars, and hotels, ensuring smooth and efficient travel experiences for the executive.
  • Office Supplies and Equipment: Ensures availability of office supplies and equipment, maintaining inventories and ordering materials as needed.

Executive Assistant Qualifications:
  • Education & Experience: Bachelor's degree and at least seven years of directly related experience, including at least 5 years of experience directly supporting senior executives. Experience as an Executive Assistant to a CEO strongly preferred. Experience in a private equity-backed organization preferred. Expertise in proactively identifying and addressing needs required.
  • Exceptional Attention to Detail & Time Management: Ensures accuracy and quality in all tasks while efficiently prioritizing and managing multiple responsibilities in a fast-paced environment.
  • Communication & Interpersonal Skills: Strong verbal and written communication abilities, fostering positive relationships with colleagues, clients, and stakeholders.
  • Research, Reporting & Presentation Skills: Proficient in conducting research and creating clear, actionable reports and presentations to support decision-making.
  • Discretion & Confidentiality: Handles sensitive information with the utmost care, maintaining confidentiality and exercising discretion in all matters.
  • Technology Proficiency: Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other company software, ensuring efficient and effective task execution.
  • Quick Learner & Adaptable: Demonstrates the ability to quickly acquire new skills and adapt to changing priorities in a dynamic work environment.
