Freight Logistics Coordinator
About the Job: The Freight Logistics Coordinator supports the Customer Service Department, Shipping/Warehouse Department, Purchasing Department, Maintenance Department, Accounting Department, etc. by proactively quoting, planning, directing, scheduling, and coordinating inbound and outbound transportation, transfer, or distribution activities in accordance with organizational policies and applicable government laws or regulations. This position is responsible for coordination of accurate, damage-free, and on-time freight pick-ups and deliveries. The Freight Logistics Coordinator works closely with multiple departments to ensure the accurate and timely execution of all freight logistics activities. This position must be detail oriented, organized, safety conscious and able to multi-task, meet deadlines and work well in a fast paced, high-growth environment.
Duties and Responsibilities:
- Plan, organize and manage daily responsibilities to ensure that the work is accomplished in a manner consistent with organizational requirements
- Process freight quote requests by coordinating with carriers, brokers, 3PLs, Starship, etc.
- Review Orders/BOL’s, and inspect for accurate item counts, weights, freight class, ship to, ship from, carrier information, customer required special delivery instructions, as well as verify accuracies of COLLECT or 3PL billing when appropriate
- Maintain accurate records of freight quotes, Bill of Ladings, and shipments as activities occur, including shipment entry/setup in Starship Maintain Starship system
- Ensure correct batches are utilized
- Research solutions to error messages
- Coordinate and schedule order pickups with customers (CPUs) and authorized freight carriers in accordance with routing instructions such as email, phone call, carrier web portal, etc.
- Work in collaboration with internal and external customers, understanding their needs and requirements of freight logistics
- Maintain effective communications between all departments by answering phone calls and emails, assisting in a professional and timely manner and resolving issues
- Oversee freight carrier activities, reviewing proposals, developing performance specifications, and serving as liaisons between freight carriers and organizations.
- Develop freight quotes/proposals that include documentation for estimates.
- Review logistics performance with carriers against targets, benchmarks, and service agreements
- Monitor and control freight carriers and their movement of our goods to maximize value and minimize costs
- Maintain and update freight documents for Sales, Customer Service, and Purchasing
- Research, analyze data, and resolve freight logistic problems and inconsistencies
- Proactively communicate and coordinate with other departments to resolve any shipping issues as required, assisting in a professional and timely manner
- Coordinate freight logistics activities, establish task priorities, schedule, and track work assignments, provide guidance, and ensure the availability of resources
- Perform coordinator duties such as training employees on freight and overseeing company needs or requirements
- Run and monitor daily/weekly reports to prioritize shipments and ensure 98% on-time accuracy.
- Review daily transfers of products from other warehouses, then confirm products and quantities of actual transfers.
- Review daily/weekly order picking requirements, carrier pick-up schedules, then coordinate with Master Planner, Shipping Expediter, Sales Manager, Production Coordinator and Branch Managers.
- Maintain status reports on overdue and potential overdue freight pick-ups and deliveries
- After daily invoicing which is typically between 3-5pm, immediately review open orders, for lost shipping documents, late orders, anticipated finished products, receipt of transferred products, printed orders/BOLs
- Coordinate schedule modifications with Shipping Departments and freight carriers as required due to customer changes, labor or material shortages, backorders, or other interruptions, and report changes to Sales Manager
- 48 hours prior to customer ship date, confirm with CSR on-time, delayed, and/or changes to the customer orders
- Review and audit scanned copies of shipping documents with Daily Shipment Report.
- Proactively notify relevant Managers and colleagues of delays, discrepancies, etc.
- Meets key performance indicators to support the department, branch, freight and overall company goals
- Work according to policies, procedures, and work instructions
- All other assignments as assigned by management
Skills and Competencies:
- Must be able to follow written, oral instructions and be able to maintain and follow-through on work assignments
- Must be able to make decisions and solve problems - analyzing information and evaluating results to choose the best solution and solve problems
- Must be knowledgeable with freight logistics for LTL, FTL, CPU, etc., including, but not limited to freight classification, differing carrier requirements, etc.
- Must be able to problem solve with ability and have initiative to work independently.
- Ability to multi-task, prioritize, and manage time, incoming calls, and emails effectively
- Must be knowledgeable with Word, Excel, Outlook, PowerPoint, SAGE/ERP, CRM, TMS/WMS, Starship, etc.
- Must be detailed orientated and have strong organizational, communication, and people skills
- Must be proficient in basic math skills such as adding, subtracting, multiplication, and division
- Must be knowledgeable with labeling and shipping compliance, government laws or regulations
- Must be adaptable to a changing work environment, competing demands and able to deal with frequent change, delays or unexpected events
Minimum Education and Qualifications: High School Diploma or equivalent (GED) required. 2 to 4 years of direct experience in shipping, receiving, freight logistics, inventory control or production required. Experience within a GMP manufacturing environment preferred.
Job Type: Full-time
Pay: $16.00 - $19.00 per hour
