What You’ll Do
- Calendar & Inbox Management: Strategically manage complex calendaring across multiple time zones, prioritizing the CHRO’s intricate schedule, ensuring meetings are seamlessly coordinated, well-prepared and conflicts are proactively addressed. Oversee and filter inbox communications by organizing emails, drafting responses, flagging urgent matters for the CHRO and ensuring timely follow-ups.
- Meeting Preparation & Coordination: Anticipate needs and provide thorough preparation for bi-weekly team leadership meetings, monthly global all-staff meetings and high-level discussions.
- Travel & Expense Management: Coordinate multipart international travel arrangements including flight bookings, accommodations, transportation and itineraries, adhering to the CHRO’s preferences to ensure seamless logistics. Handle expense reporting and reconciliation, guaranteeing timely and accurate expense submissions.
- HR Team & Administrative Support: Provide critical administrative and operational support to the HR leadership team by assisting with document creation, presentation editing and data organization. Manage HR team operations, project coordination, and occasional event planning, ensuring that deadlines and follow-ups for the CHRO and leadership team are met.
- Consistent Confidential and Timely Communications: Work closely with the CHRO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Serve as the primary contact of internal and external constituencies on all matters pertaining to the CHRO, including those of a highly confidential or critical nature, acting as a trusted liaison, managing sensitive information with professionalism and discretion. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CHRO's style and organization policy.
- 3-5 years of experience as an Executive Assistant or similar administrative role supporting leadership
- A strong motivation to work in-office 5 days a week, embracing real-time collaboration and problem-solving.
- Exceptional attention to detail and ability to multitask in a fast-paced environment.
- Proactive calendar, inbox, and time management skills, with a keen sense of prioritization.
- Strong written and verbal communication skills, with the ability to draft correspondence and presentations.
- Experience handling confidential information with discretion and sound judgment.
- A flexible and positive attitude with a passion for executive support and the ability to anticipate needs before they arise.
- Proficiency in Microsoft Office Suite.
