Essential Tasks:
- :Provide accurate and professional service to the public and other government agencies on the telephone and at the counters by answering questions, performing searches, recording documents, providing copies, processing passports, issuing marriage licenses, performing marriage ceremonies, scanning documents, and receiving and sending mail items.
- Answer and assist with multi-line incoming telephone calls systematically and professionally by relaying information on recording, taxation, marriage licenses, passports, Official Records Public View and Polk Records Online (PRO).
- Perform all stages of recording from processing incoming mail, reviewing documents for recording requirements, calculating taxes, inputting information on documents for recording, affixing required recording stamps, scanning all documents, processing them for quality checks and return to customers.
- Prepare and execute certificates of service on time sensitive documents and issue certifications on various types of documents.
- Review incoming and issue professional outgoing correspondence to verify compliance with Florida Statutes and relay information necessary to complete requests.
- Assist customers with information, copies, searches, and use of Public View PCs in reference to the Official Record, Marriage License, and Civil Cases.
- Ability to handle, balance, and reconcile large sums of cash, checks, and credit cards with daily reports.
- Review passport applications, determining proof of citizenship, obtaining proof of identity, collecting funds for passports and processing fees, and completing process of submitting applications for United States Passports.
- Interview and input required personal data for marriage applications, issue the licenses, and perform the ceremonies between eligible couples, as defined by or recognized under Florida state law.
- Multi-task as needed.
- Ability to meet production standards while maintaining a high level of accuracy.

Minimum Skills/Qualifications:

- Ability to compute ratio, percent and calculate fees.
- Ability to use and understand research materials, Clerk’s policies, departmental procedures, the Florida Statutes and Rules, the Department of Revenue Rules, the Passport Rules and Regulations, and all legal opinions.
- Ability to organize, prioritize and manage work to meet necessary time requirements and workload.
- Ability to accurately type 30 WPM.
- Pay attention to detail and remain calm in an anxious, intense environment.
- Proficient use of Word, Excel with the ability to learn industry-based software.
- Cover work of other employees to ensure that deadlines are met.
- Remain flexible as conditions change and continue to perform effectively in the face of additional challenges.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Must be a U.S. citizen (required by the U.S. Department of State to process passport applications).
- Graduate of an accredited high school or possess an acceptable equivalency diploma.
