MAJOR FUNCTIONS
Coordinates and implements marketing, sales and promotional activities for tourism/sports markets that generate overnight stays in Polk County accommodations and create economic impact in Polk County. Assists the Senior Sales & Events Manager in selling Polk County as a sports tourism destination through client services and following up on leads from industry/trade shows. Assists with the marketing and promotion of the sports/tourism initiative and special events that increase overnight stays, enhancing the economic climate in Polk County.
ILLUSTRATIVE DUTIES
Assists the Senior Sales & Events Manager with coordination and implementation of the sports tourism sales and marketing plan. Implements Sales and Marketing client services and agreements. Coordinates post industry/trade show follow-up, consumer promotions, operations and client services. Manages post conference, convention and trade show recruiting operations and client relations. Assists with sales efforts by coordinating sales missions/event rights holders meetings in key target markets. Responsible for assisting the Sports Tourism sales staff with budgeting, financial control and analysis of shows/sales missions and promotions.
Responsible for managing client database, data mining and electronic marketing. Assists sports tourism sales staff with generating and qualifying leads using sports tourism computer database and other sales methods. Prepares follow-up reports, analysis and information. Represents Polk County Tourism and Sports Marketing by traveling to consumer trade shows and other sales related functions to promote Polk County as a sports tourism destination.
Assists the Senior Sales & Events Manager in the coordination and operations of Polk County owned and co-owned special events, including but not limited to securing venues, volunteer recruitment, completion of special event bid applications, on-site special event set-up and management. Assists with the management of special event budgets including; revenue projections, expenses and value in-kind. Negotiates and secures room blocks and rates for special events, conferences and meetings held in Polk County.
Operates as an active member of the Sports Tourism Sales team. Assists with client familiarization days and with client events as needed. Maintains, stocks and reorders sales material, sales kits, videos, discount tickets and other promotional materials. Serves as point of contact for the review and screening of incoming sales phone calls, correspondence, faxes e-mails and other communications. Provides general information or forwards inquiries to appropriate individuals. Acts as a resource, point of contact, and information source for sales calls. Makes outgoing calls as required supporting sales and selling activities.
Responsible for the coordination and planning of industry/trade shows, conferences, meetings, and other sales related events, including securing exhibit space, shipping of materials, conference registration, etc., in coordination with the Sports Tourism Sales Department. Responsible for jointly maintaining the calendar of industry/trade events and needed tradeshow exhibits and promotional items to ensure the efficient use of Polk County Tourism and Sports Marketing resources. Responsible for assisting departmental staff in all aspects of the sales function, including: attending tradeshows, serving as a step-on guide for motor coach groups and responding to and recruiting group travel inquiries.

KNOWLEDGE, ABILITIES AND SKILLS
Knowledge of sales, marketing, public relations and communications techniques and methods. Ability to establish and maintain an effective working relationship with employees, clients, business representatives and the public. Ability to communicate effectively both orally and in writing. Ability to make public speaking presentations.
Ability to conceive, design, formulate and prepare informational data, analyze data, reports and survey information. Ability to use independent judgment, analyze information and formulate recommendations. Ability to prepare budgets and tactical sales strategies. Ability to coordinate and plan meetings, conferences and sports/special events. Skilled in word processing and database management software.
Must be enthusiastic, willing to work in a fast-paced environment, and handle a high volume of work. Must be detail-oriented and have a sense of urgency. Must have at least one (1) to three (3) years of experience in a clerical or customer service role. Must have proven success in serving customers, working in a team environment, listening and providing information. Must have excellent verbal and interpersonal communications skills with strong telephone communication ability.
MINIMUM QUALIFICATIONS
Graduate of an accredited four (4) year college or university with a degree in Business Marketing, Hospitality Management, Sports Management, Health, Physical Education, Journalism, Public Relations, or related field, or have a minimum of four (4) years sales, marketing or business-related experience.
Must have a valid driver’s license and be able to secure a valid Florida driver’s license at the time of employment.
A comparable amount of training and related experience may be substituted for the minimum qualifications, except for the driver’s license requirement.
SPECIAL PREFERENCE
Experience in sports & special events industry is preferred.
SPECIAL REQUIREMENTS
This position shall be required to report for work when a declaration of emergency has been declared in Polk County.
