ILLUSTRATIVE DUTIES
Will include many if not all the following:
- Assists supervisor and other office personnel by performing clerical, secretarial and related office work, which follows the established procedures, practices, and policies of the assigned office using personal computers and other general office equipment.
- Acts as personal assistant to supervisor by assisting, initiating and carrying to completion secretarial and related information for supervisor's use or to meet work unit’s needs/requirements.
- Independently drafts, prepares, proofreads, types, processes and/or researchers forms, memoranda, letters, records, reports, summaries, and other related office material using word processing and other software utilized by the work unit.
- Independently follows up on project/office assignments to ensure timely results.
- Assembles agenda and related material for meetings, conferences, and other related work unit needs/requirements.
- Posts data, fiscal information or other record keeping information either by written notation, or by entering such information into personal computer database systems.
- Reviews statements and ensures that purchase orders are calculated and extended correctly.
- Deals with the public, other employees or officials via telephone or in person guiding them according to the unit's established procedures, providing information and responding to inquiries as directed or trained by supervisor.
- May act as office receptionist.
- May handle routine mail duties.
- Maintains and schedules appointment calendar, advising others of appointments and meetings. Performs related duties as required.
KNOWLEDGE, ABILITIES AND SKILLS
- Knowledge of business English, punctuation, spelling, and arithmetic.
- Knowledge of general office practices and procedures and record keeping methods.
- Ability to work independently and adhere to prescribed routines and practices.
- Ability to learn assigned secretarial and clerical tasks of the office assigned.
- Ability to prepare or draft routine documents and compose business letters, memoranda and related forms and program materials.
- Ability to make mathematical computations and tabulations accurately and with reasonable speed.
- Ability to meet and deal courteously and work effectively with employees, officials, and the public.
- Ability to use personal computers, related software, and other office equipment of the assigned work unit.
- Ability to operate and provide general care and maintenance of office machines and equipment. Skill in typing at a prescribed rate of speed.
MINIMUM QUALIFICATIONS
- Graduate of an accredited high school or possess an acceptable equivalency diploma and have a minimum of two (2) years secretarial office or clerical work experience.
- Must be able to type a minimum of 40 CWPM with a maximum of 10 errors.
- Must be able to utilize all features afforded by word processing and other required software and personal computers utilized by the assigned work unit.
- Must possess a valid driver's license and be able to secure a valid Florida driver's license at the time of employment. A comparable amount of training and related experience may be substituted for the minimum qualifications.
SPECIAL REQUIREMENTS
All new Rohr Home employees must undergo Level 2 (FDLE) screening submitted electronically, before commencing work and every 5 years thereafter and attest, upon hiring, that they meet the requirements for employment and agree to inform the employer immediately if arrested for any disqualifying offense.
New employees, who have worked for another health care facility, may obtain background screening information from their previous employer to satisfy the new requirements. Persons who have been screened and qualified as required by Section 435 and who have not been unemployed for more than 90 days thereafter, and who under penalty of perjury, attest to not having been convicted of a disqualifying offense since the completion of such screening, shall not have to be re-screened.
This position shall be required to report for work as directed when a declaration of emergency has been declared in Polk County.
