ILLUSTRATIVE DUTIES
- Assist the supervisor with office management practices.
- Perform and coordinate work and procedures.
- Execute various clerical and service activities required for support record keeping (i.e.: accounting, fiscal record keeping, work records, tabulations, statistics, notations, employee files, time and attendance records, worker's compensation, purchase order requisitions, property record keeping).
- Provides administrative support for the purchase of goods and services for the section including but not limited to; obtaining quotes, developing annual bids, processing P-Card transactions and coordinating deliveries.
- Coordinate and ensure that costs of services, bills, payment receipts and other fiscal and purchasing matters are computed accurately and processed according to standard procedures to ensure timely payments.
- Oversee direct and indirect calculation costs and reimbursements regarding budget funds.
- Coordinate the repair and maintenance of assigned county vehicles. Coordinates services provided by other County Divisions, outside organizations and vendors.
- Handle requests and complaints from the public and communicate with them via telephone, personal contact and correspondence.
- Guide citizens according to unit established procedures; providing information as directed.
- Confer with supervisor and others to resolve problems.
- Provide citizens with prompt and courteous response to requests.
- Maintain computer databases and spreadsheets.
- Manages, monitors, inputs data and creates reports related to the Computerized Maintenance Management System (CMMS) and reservation software programs utilized by the Division.
- Responsible for generating and distributing information system forms.
- Process, maintain, record and prepare various reports, records of transactions and forms.
- Operate typewriter, personal computer and/or remote computer terminals.
- Responsible for establishing and maintaining office files.
- May act as secretary for assigned supervisor and/or director.
- May act as Customer Service Representative for incoming calls and citizen visits during breaks, lunch and leave periods or serve as backup for other positions within the division.
- Plan, evaluate and recommend to the supervisor, the procedures to be used within the office. May assist with budget preparation, as required. Performs other related duties as required.
KNOWLEDGE, ABILITIES AND SKILLS
- Knowledge of modern office practices, procedures and record keeping methods.
- Proficient knowledge of Microsoft Office Suite to include Word, Excel, and Outlook.
- Knowledgeable in English grammar and usage, both in vernacular context and professional.
- Ability to work independently and adhere to prescribed routines and practices.
- Ability to develop effective work methods and procedures.
- Ability to author and draft routine documents, business letters and memoranda.
- Competent in mathematical computations, tabulations and reports.
- Proficient in planning, assigning, and reviewing work of others if required of the unit.
- Ability to operate and provide general care and maintenance of office machines and equipment.
- Capable of using personal computers, remote computer terminals, typewriters and other office equipment of the assigned work unit.
- Ability to make independent decisions, to read and write, ability to see and hear at a normal level.
- Ability to ambulate independently, to bend, stoop, sit and stand. Must be able to push, pull, lift or carry materials of five (5) pounds or greater with the maximum weight being twenty- five (25) pounds.
MINIMUM QUALIFICATIONS
Graduate of an accredited high school or possess an acceptable equivalency diploma and have a minimum of three (3) years clerical office experience.
Must be able to type a minimum of 35 CWPM with a maximum of 10 errors and be able to utilize all features afforded by word processing software and other required software and personal computer equipment utilized by the assigned work unit.
Must have a valid driver's license and be able to secure a valid Florida driver's license at the time of employment within this classification.
A comparable amount of related training and experience may be substituted for the minimum qualifications.
SPECIAL REQUIREMENT
This position shall be required to report for work as directed when a declaration of emergency has been declared in Polk County.
