What are the responsibilities and job description for the EVIDENCE CLERK position at Polk County?
- Provides assistance to office staff in processing and filing video and photographs submitted by law enforcement, businesses, personal devices, etc., for evidentiary and court purposes. This may include editing and/or preparing exhibits from evidence received as directed by an attorney, legal assistant, or lead staff.
- Compiles electronic evidence to the network storage drive; ensures electronic documentation is secure for appropriate sharing; verifies accuracy of downloads.
- Calculates, collects, records, files, reviews, and verifies all new cases as assigned by the Senior Evidence Clerk.
- Utilizes personal computer word processing, spreadsheet, and database software programs; enters and updates program and client information; maintains computer files.
- Receives and prepares daily reports or weekly lists as assigned.
- Assists in preparing detailed file cases including case numbers, Criminal History Report (RAP sheet), preliminary complaints, and fly sheets as needed.
- May assist with courtroom technology as needed.
- Performs other clerical support functions, including serving as back-up to clerical staff.
- Performs related duties as assigned.
- Knowledge of office practices and procedures.
- Knowledge of departmental policies, practices, and standards.
- Knowledge of business English, spelling, grammar, and punctuation.
- General knowledge of technology applications used within the department.
- Skill in the use of computer software word processing, spreadsheet, and database programs.
- Ability to file alphabetically and/or numerically and maintain office records.
- Ability to function courteously and effectively in stressful situations.
- Ability to establish and maintain satisfactory working relationships with other County employees and the general public using patience and tact.
- Ability to communicate effectively to obtain accurate information.
- Ability to analyze moderate problem situations and arrive at logical and effective solutions.
- Ability to perform work requiring close attention to details.
- Ability to compose letters and memoranda.
- Ability to make minor decisions in accordance with laws, rules, regulations, and departmental policies and procedures.
- Ability to operate a personal computer and other general office equipment.
- Ability to type 35 words per minute and/or possess basic data entry skills.
- Ability to frequently lift up to 50 pounds.
- Graduation from high school or equivalent education, and
- One year of experience in clerical or related office work, or
- Any equivalent combination of training and experience that will have provided the required knowledge, skills, and abilities.
- National Crime Information Center (NCIC) certified with six months.
- A criminal background check is required.
- A drug screen is required prior to final offer of employment.
