Job Duties:
- Functions as the office Ambassador acting as the first point of contact for all office visitors and callers. This employee must be present in the office during office hours to meet regulatory requirements.
- Answer incoming calls, demonstrating superior customer service skills while establishing the reason for the call and either addressing the caller's need or routing to the appropriate team member.
- Demonstrate critical thinking while possessing a good understanding of the unique characteristics and operations of the mobile cardiac clinic in order to proficiently support our practice.
- This role is responsible for interacting professionally with referring provider offices, hospitals, insurance companies, and regulatory bodies.
- Responsible for processing incoming faxes demonstrating attention to detail to ensure that documents are placed in the right charts and tasks are routed accurately.
- Accurately enter all patient demographics and all other other required information per procedure from newly received referrals into the practice management system.
- Follow the "Providers Order Summary" process to ensure that all care orders are entered into the EMR, preventing any care gaps.
- Liaise effectively between patients, clinical staff, and other departments with the clinic.
- Ensures timely processing of received medical records request and also sending medical record requests to other medical providers to allow for care collaboration.
- Communicate with patients, healthcare providers, and insurance companies to ensure timely and accurate outbound referrals.
- Receiving and accurately processing all clinic mail daily.
- Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies for the office and clinical staff; placing and expediting orders for supplies; shipping supplies to clinical staff and verifying receipt; and maintaining office equipment and notifying leadership for service and repair needs.
- Participate in regulatory reviews, audits, and process improvement projects.
- Perform duties cross functionally across all clinic departments and with medical providers.
- Work with the leadership team to mastermind ways to improve the quality of patient care and workflows.
