Property Manager
Palo Alto, CA
Salary : 105-130K plus bonus (up to 10%, based on performance)
SUMMARY :
This position is responsible for all management aspects of the assigned properties, including operations, financial, and tenant relations. The Property Manager is charged with supporting management’s efforts in the day-to-day implementation of policies, procedures, and programs that will ensure a well-managed, well-maintained building, placing maximum emphasis on positive responses to the concerns and needs of the tenants, environmental health and safety, and quality programs in coordination and conjunction with the Owner’s goals and objectives
ESSENTIAL JOB FUNCTIONS AND SPECIFIC RESPONSIBILITIES REQUIREMENTS :
Full-time position
Active CA Real Estate license
4 years of directly relevant Commercial Real Estate Property Management experience
Strong working knowledge of MS Word, Excel, Outlook, and PowerPoint
Familiarity with maintenance accounting and / or budgeting software (Kardin)
Effectively prioritize, multi-task and time manage
Excellent people skills
Strong working knowledge of general office equipment (copiers, scanners)
Ability to effectively communicate both orally and in writing with peers, managers, and clients
Dependable and flexible as well as possessing the ability to maintain a high level of confidentiality
Proactive, initiate follow-through
Work well in teams
Participate in departmental projects as required
Ensure status report information is correct and current
Weekend on-call rotation (one week as backup; following week on call)
Know all properties and understand all emergency procedures
Respond to emergencies as required
Property Maintenance :
Regular inspections of properties to ensure standard high-quality appearance and provide recommendations for maintenance / upgrades as necessary
Work with the Property Administrator in preparing / requesting and maintaining service contracts, purchase orders, and work orders
Pre-qualify contractors, prepare bid packages, review, and award to contractors, draw up contracts, obtain certificates, oversee work, draft final punch list, obtain warranty paperwork if applicable
Coordinate refurbishment premises for leasing
Maintain all vacant premises for marketing
Tenant Relations :
Attend the kick-off meetings and present move-in materials
Coordinate tenant move-in process
Visit tenants post-move-in to ensure tenant satisfaction
Coordinate with the construction of Tenant Improvements when requested
Establish a relationship as the primary contact for tenants
Respond quickly to each tenant request with the timeline for completion
Tenant visitation at a minimum of two times per year
Review compliance of tenant certificates of insurance (monthly or quarterly, depending on owner’s / client’s requirements)
Review compliance of tenant hazmat program
Co-review Tenant requests for additional construction / post notice of non-responsibility
Conduct tenant closure inspection with the Tenant
Ensure completion of all tenant move-out / restoration responsibilities. Complete final accounting in conjunction with the Property Accountant
Financial :
Ensure timely receipt of all rent payments
Assess late charges as needed and / or required by ownership
Process three-day notices when required
Review and approve on a monthly basis all rent rolls, rent-up, and tenant statements
Yearly (or as required) budget preparation
Budget re-forecasting as required by ownership
Review and approval of invoices up to the approved limit
Monitor operating expenses versus budget
Preparation of monthly financial reporting packages for review by the Vice President
CAM reconciliation analysis and review
Respond to owners and asset managers when requested
PHYSICAL REQUIREMENTS INCLUDE :
Ability to lift and carry up to 25 pounds
Ability to stoop, crouch, bend, kneel, climb, and reach with hands and arms
Ability to climb stairs frequently throughout the work day
Able to sit for extended periods of time
Must be able to hear, talk, and see well enough to communicate with coworkers and customers via phone, email, or in person
Must have manual dexterity to type, file, and operate common office equipment including phones, fax machines, copiers, computers, and printers, phones, fax machines, copiers, computers, and printers
