Position Purpose:
As an Agent Success Manager (ASM), you’ll be the backbone of agent support at PorchLight, combining your passion for people with a knack for efficient operations. This is a client-facing, dynamic role where you’ll empower agents by helping them navigate tools, solve problems, and drive success. Whether you’re onboarding new agents, streamlining office processes, or managing marketing materials, you’ll be the go-to resource for agents seeking both support and guidance. You’ll work closely with leadership and teams across departments to ensure agents’ success, while maintaining a welcoming and proactive presence.
Key Responsibilities
Client and Agent Relations
- Serve as a positive, professional liaison between agents and PorchLight.
- Empower agents to effectively use internal resources and tools, ensuring they maximize their potential and help them grow their business/production.
- Guide new agents through a smooth onboarding process, from tech setup to business card orders.
- Assist agents in overcoming obstacles related to the adoption of tools and systems.
- Maintain clear communication with sponsors, coordinating involvement in company events.
- Manage off-boarding processes, ensuring smooth transitions for departing agents.
- Support recruitment efforts by assembling and delivering Recruit Packs and Demo Bags.
- Maintain and manage agent’s CRM database, ensuring all contacts, transactions, and communications are up-to-date.
- Help agents optimize CRM workflows, set up automated reminders, and track their leads and activities.
- Guide agents in utilizing automated workflows for marketing, follow-ups, and task management. Ensure that agents are maximizing their productivity by integrating automation into their daily processes.
Operational Efficiency
- Continuously identify opportunities for process improvements within the office.
- Implement and refine strategies to streamline office functions and boost productivity.
- Oversee the production of marketing materials, ensuring quality and timely delivery.
- Manage data input and property listings across multiple platforms (IRES, REColorado, Union Street).
- Organize and upload property media, ensuring up-to-date and accurate listings on all platforms.
- Support the planning and execution of office events, coordinating logistics and ensuring alignment with goals.
- Assist agents in the adoption and effective use of the company’s CRM systems, automation tools, and other technologies.
- Provide ongoing training and support to ensure agents leverage all features to streamline their operations and enhance client relationships.
Project Management
- Collaborate with other teams (Social Media, Marketing, Transaction Coordinators) to ensure accurate information flow.
- Support the creation and distribution of templated listing marketing suites, agent graphics, and promotional materials.
Administrative Support
- Provide administrative assistance to the Managing Broker, Managing Partner, and Director of Marketing.
- Coordinate office meetings, Huddles, and other team events, ensuring agendas and objectives are clear.
- Manage logistics for various events (e.g., TopGolf, Lunch & Learns) and provide support for tech-related tasks.
- Submit receipts for company credit card usage and track inventory.
- Assist agents in plugging into the company’s full range of technology platforms and services. This includes setting up accounts, integrating tools, and ensuring agents are connected to all relevant services for smooth operations.
- Contribute to a collaborative, positive work environment by assisting with ad-hoc projects as required.
Customer Service Excellence
- Prioritize exceptional customer service in all interactions with agents.
- Address agent inquiries and concerns with a positive, proactive attitude.
- Design and distribute personalized marketing collateral (e.g., notecards, stickers) to support agent success.
- Provide tech support for agents and escalate issues to tech support as necessary.
- Support agents with open house materials, social media graphics, and listing presentations.
Facility Management
- Oversee daily office operations, including opening/closing procedures and event setup.
- Ensure office supplies and production materials are stocked and ready for use.
- Coordinate office space utilization, meeting room reservations, and event logistics.
- Manage catering, maintenance issues, and cleanliness of the office environment.
- Collaborate with Facilities team for ongoing maintenance and improvements.
Skills & Qualifications
- Experience: 2-3 years in a customer service, administrative, or project management role. Real estate experience in some capacity is strongly preferred, but not required.
- Communication: Strong verbal and written communication skills, with an ability to build rapport with agents.
- Tech-Savvy: Comfortable using internal software, systems (IRES, REColorado, Union Street), and tech support tools.
- Organizational Skills: Exceptional attention to detail and the ability to manage multiple projects simultaneously.
- Team-Oriented: Enjoy working collaboratively with a leadership team and agents to achieve common goals.
- Problem Solver: Able to handle challenges in a calm and professional manner, offering creative solutions.
- Customer Service Focus: Passionate about delivering a top-notch experience for every agent.
