Port City Industrial is seeking an Accountant to manage the workflow and coordination of service field crews. This role requires a customer-centric approach, strong multitasking abilities, and the capacity to handle prolonged phone interactions. This role will oversee daily schedules, making necessary adjustments to ensure timely completion of current and upcoming tasks. This role involves handling all inbound emergency service calls and other job site-related inquiries, directing them to the appropriate team members. The individual will work closely with service managers, technicians, sales representatives, and customers to facilitate efficient scheduling and completion of work. This is a dynamic, high-visibility role within the company.
Key Responsibilities:
- Greet visitors, answer phone calls, manage emails, and handle general inquiries.
- Monitor and order office supplies to ensure the office is adequately stocked.
- Prepare, post, verify, and record customer payments and transactions related to accounts receivable.
- Generate invoices in accordance with company procedures and submit them to customers.
- Maintain and update customer files, including changes in contact details, mergers, or other relevant updates.
- Draft correspondence for overdue accounts, identify delinquent accounts, and contact accountholders to request payment.
- Create reports on the status of customer accounts as needed.
- Investigate customer discrepancies and past-due amounts in collaboration with the Controller.
- Process and prepare accounts payable invoices and review Purchase Orders daily; monitor expenses for correct classification.
- Support the Accounting Manager in reconciling revenue accounts on a monthly basis.
- Communicate changes in information to relevant employees.
- Assist in maintaining accurate financial records, including accounts payable, accounts receivable, and general ledger entries.
- Perform other related duties as assigned.
Qualifications and Skills:
- Excellent verbal and written communication skills.
- Proficiency in QuickBooks Online or similar accounting software.
- Strong organizational skills with a keen attention to detail.
- Ability to work independently in a fast-paced environment.
- Capability to anticipate work needs and maintain professional interactions with customers.
- Familiarity with scheduling software and basic computer skills.
- Knowledge of basic construction and repair terminology is advantageous but can be learned on the job.
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting preferred.
- Minimum of two to three years of related experience.
