Public Relations Executive Liaison Role:
The Public Relations Executive Liaison will support the Board of Harbor Commissioners and the CEO & Port Director, providing comprehensive public relations and organizational assistance.
This role involves coordinating meetings, record-keeping, communication between board members, and ensuring that board activities align with Port policies. The ideal candidate will have strong communication, organizational, and multitasking skills.
Key Responsibilities:
- Establish efficient communication protocols for the Harbor Commissioners, CEO & Port Director, and Public Information Officer (PIO).
- Support and coordinate the needs of the Harbor Commissioners, CEO & Port Director, and PIO, including scheduling, meeting logistics, and preparing reports.
- Attend and support Harbor Commissioners, CEO & Port Director, and PIO at meetings, events, and conferences.
- Prepare resolutions and certificates for presentation by Harbor Commissioners.
- Support media functions of the Public Relations Department.
- Track, order, and distribute Port promotional inventory.
- Draft press releases, speeches, and speaking points as needed.
- Assemble and distribute promotional materials to support Port events and programs.
- Perform other assigned duties to support the board and District's business.
Travel Requirements:
- The position requires travel on weekdays or weekends for board meetings, district events, external engagements, and conferences.
- Travel may involve overnight stays, requiring flexibility to accommodate varying time zones, meeting schedules, or urgent matters.
Qualifications:
- Familiarity with roles and responsibilities of board members, including compliance with legal and ethical obligations.
- Ability to exercise independent judgment and resolve technical and administrative conflicts.
- Leadership skills, including maturity, vision, and ability to articulate the organization's vision and mission.
- Understanding of Port policy and ability to interpret, explain, and apply it.
- Presentation skills, including clarity, logic, and persuasion in public meetings.
- Ability to prepare clear, concise, and comprehensive correspondence, reports, and other written materials.
- Sound professional judgment and seasoned political acumen within broad policy guidelines.
- Tact and diplomacy in dealing with sensitive, complex, and confidential issues and situations.
- Establishing and maintaining effective working relationships with various stakeholders.
Minimum Requirements:
- High school diploma or equivalent required; an Associate's or Bachelor's degree in business Administration, Communications, Political Science, International Relations, or related fields preferred.
- At least 5 years of experience in an administrative or executive support role.
- Possession of a valid California driver's license and ability to drive District vehicles.
- Able to obtain a Transportation Worker Identification Credential (TWIC).
