Position Summary
The purpose of the Assistant Property Manager is to assist with the day-to-day functions of the property management department and the functions of the Property Manager to which he/she is assigned. The focus of the job is to support the Property Manager in all aspects of management pertaining to the properties. The APM is a liaison between the tenants and the Property Manager for maintenance and many tenant issues. Ideal candidate muse be versatile, flexible, and willing to work with constantly changing priorities.
Working Conditions
Indoor and outdoor work, walking, standing, sitting, hearing, bending, crouching. Employee may be subject to moderate noise, extreme temperatures and hazardous conditions. Use of personal computing equipment, telephone, multi-functioning printer and calculator. Manual dexterity, ability to lift up to 10 pounds. May be required to travel to and from meetings, properties and other business related events.
Essential Functions
- Creates and maintains accurate tenant and vendor files and update as needed;
- Administers tenant invoicing and rent collection procedures;
- Reviews and prepares invoices for payment;
- Utilizes a tenant request and PM work order system to administrate day-to-day operations;
- Communicates effectively with Commercial Property Manager and team on any issues that may arise with any building, tenant or vendor;
- Handles phone calls from vendors and tenants, responding to their needs in a timely manner;
- Provides timely and quality customer service when working with all tenants, vendors and contractors;
- Proactively addresses all items, needs and issues that may arise;
- Meets with vendors and contractors in the field, proactively handling issues and overseeing their work.
- Order products from various vendors and oversee installations;
- Completes monthly property observation reports;
- Maintains all commercial financial and tenant information as needed;
- Creates and maintains all Tenant Lease Abstract Files. Forward files to finance team when changes occur;
- Creates Vendor/Owner Contracts, obtaining signatures, W-9 and insurance information.
Qualifications/ Experience
- HS Diploma or GED; some college
- Familiarity with Yardi a plus
- Minimum of 3 years experience in property management or property management accounting required.
- Proficiency in Word and Excel required.
- Knowledge of commercial property management and administrative procedures, including general facilities, services, maintenance, repairs and construction.
License/Certifications
- Must have current class C Driver license.
- RPA/CPM certification preferred.
Must pass criminal background check.
