With a growing fleet of Freightliner trucks and an expected 30% increase in cargo volume within the next year, we are seeking an experienced Fleet Coordinator to support and optimize our trucking operations.
Job Summary
The Fleet Coordinator will be responsible for overseeing the company’s trucking operations across all locations, ensuring efficient transportation of containers to and from the different ports. This role requires strong organizational skills, attention to detail, and an ability to work closely with drivers, maintenance teams, and operations staff to keep fleet operations running smoothly. This role also requires strong logistics expertise and a proactive approach to regulatory compliance and fleet management.
Key Responsibilities
Fleet Operations & Logistics Support
- Coordinate the scheduling and dispatch of trucks in Delaware and Florida and upcoming trucks in Houston.
- Ensure timely and cost-effective movement of containers to and from US ports for loading.
- Track, monitor, and optimize routes, fuel usage, and driver assignments to maximize productivity and cost savings.
- Develop and implement standard operating procedures (SOPs) for fleet operations.
Driver & Compliance Coordination
- Support driver recruitment, onboarding, and compliance with DOT and FMCSA regulations.
- Maintain driver logs, pre-trip/post-trip inspections, and hours-of-service (HOS) records.
- Communicate with drivers regarding schedules, safety procedures, and any operational updates.
- Assist in CDL licensed truck driver recruitment, training, and performance evaluations.
Fleet Maintenance & Safety
- Coordinate and monitor truck maintenance and repairs for all company trucks and chassis to minimize downtime.
- Implement a preventive maintenance program for truck longevity and safety.
- Tracked truck inspections, registrations, and insurance renewals, ensuring compliance with federal and state vehicle inspection requirements.
- Assist in investigating, documenting, and resolving mechanical failures, accidents, or breakdowns.
Regulatory Compliance & Reporting
- Ensure all fleet documentation, including permits, fuel reports, and maintenance logs, is current.
- Ensure all trucks comply with federal, state, and local transportation laws.
- Generate reports related to fleet performance, fuel usage, and costs.
- Work with insurance providers to manage claims, coverage, and liability matters.
Cost Control & Efficiency
- Monitor fleet-related expenses, including fuel, repairs, tolls, and permits.
- Identify opportunities for operational efficiency and cost reduction without compromising safety and performance.
- Analyze financial reports related to fleet expenses and recommend cost improvements.
Expansion & Growth Planning
- Assist in the acquisition and integration of new trucks for the Houston operation.
- Support logistics planning for the expected 30% increase in container volume, including evaluating the need for additional drivers or scheduling adjustments.
- Collaborate with the operations team to optimize fleet capacity based on demand.
Qualifications & Experience
- 3 years of experience in fleet coordination, transportation, or logistics.
- Knowledge and familiarity with trucking operations, driver supervision, and truck maintenance.
- Understanding and knowledge of DOT and FMCSA regulations.
- Experience working with containerized cargo and port logistics is preferred.
- Strong organizational skills, attention to detail, and multitasking skills.
- Proficiency in fleet management software and tracking systems is a plus.
- Strong communication and problem-solving skills.
Preferred Skills
- Bilingual (English/Spanish) is a must.
- Experience working with international shipping companies is a plus.
- Knowledge of container transport into marine terminals is a plus.
- Knowledge of the MOTIVE Tracking App a plus.
