The Portage County Family Court Commissioner (FCC) is hiring a 30 hour / week, Monday - Thursday, Administrative Associate II. This position works part time, Monday - Thursday, 8 am - 4 pm, AND receives full-time benefits!
Starting pay is $19.37 / hr
What are the primary job duties?
ADMINISTRATIVE DUTIES include the following;
- Professionally and courteously communicate with the public, the Courts, and other agencies regarding family law cases and services.
- Assist the public with petitions for temporary restraining orders.
- Be knowledgeable about safety concerns for litigants and Court staff, and notify proper security prior to hearings.
- Ensure all necessary forms are filed by the Petitioner.
- Prepare draft of Temporary Injunctions for Family Court Commissioner (FCC) review and signature.
- Assist the FCC in drafting legal documents.
- Draft letters, documents, and orders on behalf of the FCC from Commissioner’s notes.
- Prepare minutes from Family Law meetings for distribution to stakeholders.
- Clerk in Off the Record Status and Scheduling Conferences and prepare notes for Court files.
- Assist FCC in operating Family Court Services.
- Maintain accurate list of Guardians ad Litem and Mediators for FCC and Circuit Courts.
- Recruit attorneys and mediators.
- Conduct annual updates of eligibility criteria.
- Plan and prepare written materials for annual mediator training
- Family Law Information Center (FLIC)
- Maintain communication and coordinate with contract provider.
- Provide information to the public, regarding FLIC services
- Maintain and publish a list of Court approved parent education courses for family law cases.
- Maintain accurate list of Guardians ad Litem and Mediators for FCC and Circuit Courts.
- Proficient utilization of CCAP and ERP (Munis) programs
- Coordinate with affected legal agencies in planning and scheduling annual time blocks for specific case types on the Family Court Commissioner’s calendar (i.e. Circuit Courts, Child Support, Corporation Counsel, Schools, etc.).
- Maintain accurate Court calendar for FCC
- Generate legal notices for scheduled hearings with appropriate appearance instructions.
- Research status of case files
- Ensure all matters before the FCC have future scheduled calendar dates
- Submit requisition entries and process purchase orders & purchase card statements within the Munis system.
- Submit work order requests to the Facilities and IT departments.
- Contact CCAP when state equipment is in need of technical support.
- Procurement
- Secure travel arrangements for Court Commissioner
- Renew Court Commissioner’s membership in legal organizations
- Place supply orders / maintain inventory
- Verify accuracy of invoices
- Ensure sufficient supplies and operating equipment are available to the FCC office and Family Court services.
LEGAL / TECHNICAL SUPPORT duties include the following;
- Work with FCC in developing and preparing County forms for Pro Se litigants and internal use.
- Serve as backup to the Circuit Court Judical Assistants.
- Screen all documents presented to the Court Commissioner, either electronically or hard copy, for accuracy, expediency and appropriateness.
- When required, contact attorneys and/or parties concerning court date appointments, cancellations, and status of scheduled hearings.
- Contact institutions (prisons, jails and/or mental health facilities) to arrange video/phone appearances for inmates.
What are the minimum requirements?
- High School diploma or equivalent required.
- An associate degree from an accredited vocational, college or technical school in Legal, Business, Public Administration, or related field required.
- Work experience in a related legal field, or experience in a Clerk of Courts department highly preferred.
- Any combination of education and experience necessary to perform the essential functions of the position.
