Job Description
The Production Hand Lead role at the Portland Art Museum will assist with production, support and overnight shifts overseeing events and event turnover at the Museum. This position works in collaboration with the Production Supervisor to completely turn the building around from one event to another, leading and participating in the striking/resetting and cleaning of event venues, support spaces, restrooms, and common areas. As the lead, this position ensures the complete load-out of events, guarantees accurate set completion, and handles event opening procedures. During the late-night and early-morning hours, this position is the Museum’s primary contact for caterers, vendors, and clients.
In this role, you will
- Works directly with caterers, vendors, and clients during event load-outs to ensure proper closing procedures are met
- Participates in room flips, directing them to ensure accuracy and timeliness, during primarily overnight shifts
- Ensures the thorough cleaning of event venues, support spaces, restrooms, and common areas
- Establishes contact with clients, planners, and caterers for early morning events
- Responsible for upkeep of event spaces, furniture, and equipment, and communicates maintenance needs to the Production Supervisor
- Ensures furniture in event spaces are set in compliance with local life safety regulations
- Assists in maintaining inventory of production supplies and tools
- Assists in the operation of Mark Building loading dock; assists vendors and production staff with the load-in and load-out of event-related supplies and equipment
- Removes and sets AV equipment from event spaces when necessary
- Provide Production Supervisor with information on Event Support Staff to share during scheduled feedback meetings
- Performs walk-throughs with caterers to ensure all Museum spaces are clean before departure
- Works with the Production Supervisor on staff scheduling
- Performs other related duties as assigned
Supervisory Responsibilities
- Leads and coordinates Event Support Staff to ensure safe and efficient setup
To be successful in this role, you have these requirements
- High school diploma or equivalent combination of education and experience required
- 2-4 years of experience in events production
- Minimum 2 years of experience in events set-up and tear-down
- First Aid and CPR certification preferred but not required
- Building and equipment maintenance experience preferred but not required
- Familiar with the nature and culture of special events
- Work collaboratively in an equitable and inclusive framework with individuals from a wide variety of backgrounds (i.e. volunteers, Museum staff, the general public, caterers, vendors, and clients)
- High attention to detail, prioritization of duties to meet deadlines, and maintaining calm under pressure
- Knowledge on Portland Fire & Rescue requirements for public/special events
- Excellent verbal communication skills
- Identify and positively resolve client issues in the moment or elevate with care to the Production Supervisor
- Familiar with reading floor plans and setting up rooms

- Schedule/Hours: Event shifts typically range from 4-12 hours. Rarely do shifts extend longer than 12 hours (35 hours per week)

- The budgeted compensation falls within pay grade G ($24.43 minimum - $28.44 midpoint - $32.16 maximum), based on experience

Shift differentials (for hourly/non-exempt staff working onsite):
- Evening hours (6:00 pm-12:00 am) will be paid an additional $1.00 per hour
- Night hours (12:01 am-6:00 am) will be paid an additional $2.00 per hour
